Mission of the Role</b></h3><p>
The objective of this position is to deliver the ProfitCoach Experience (owning the outcome, ease of doing business, and extraordinary service) to ProfitCoach clients through quality assurance reviews, client relationship and account management that delivers accurate, timely, and efficient full-service accounting, while also maintaining an awareness of the unique needs and profit-growing/stewardship opportunities of each individual client.
</p><p></p><h3 class="jobSectionHeader"><b>Job Purpose</b></h3><p>
The Trust Accounting Specialist is responsible for managing the day-to-day trust accounting processes for property management companies with Trust Accounts. In addition to Trust Accounting expertise, this role requires strong written and verbal communication skills to effectively support client interactions, internal collaboration, and process documentation.</p><p><b>
Requirements</b></p><h3 class="jobSectionHeader"><b>
Job Duties and Responsibilities:</b></h3><ul>
<li>Ownership of functions</li>
<li><ul><li>Communication</li>
<li>Inbox management</li>
<li>Weekly update email to client</li>
<li>Evaluate and implement routine client communication as needed, even if not on the original instructions</li>
<li>Notify the AE of client dissatisfaction, unmet deadlines, higher-level issues</li>
</ul></li><li>Accounting requests to include:</li>
<li><ul><li>Vendor credits</li>
<li>Transferring funds</li>
<li>General receipts &amp; deposits</li>
<li>Tenant charges</li>
<li>Tenant deposits</li>
<li>Tenant credits</li>
<li>Owner adjustments</li>
<li>Ownership changes</li>
</ul></li><li>Owner cancellations</li>
<li><ul><li>To include transferring deposits to new ownership/management</li>
<li>To include Lease Only payouts</li>
</ul></li><li>HAP payments</li>
<li><ul><li>Late fees, eviction notices, NSF processing</li>
<li>Security deposits</li>
<li><ul><li>Both the basic AppFolio flow, and any unique client constraints or policies</li></ul></li>
</ul></li><li>A/P cycle</li>
<li><ul><li>Approve bills (if the VA enters the bills)</li>
<li>Management fee posting &amp; payout</li>
<li>Vendor payments (with any unique client constraints)</li>
<li>Send physical check files to client</li>
<li>Issue or request stop payments as directed
</li></ul></li><li>Owner accounting</li>
<li><ul><li>Owner statement review &amp; sending</li>
<li>Owner disbursements</li>
</ul></li><li>Banking</li>
<li><ul><li>Bank deposit followup</li>
<li>Bank reconciliation troubleshooting &amp; review</li>
</ul></li><li><ul><li>Initiating bank transfers</li>
<li>With AE approval, enter corrective JEs</li>
<li>Review issued checks past 90 days</li>
</ul></li></ul><ul><li>Other projects</li>
<li><ul><li>Negative &amp; positive FDR review</li>
<li>Assist with 1099s and other AE-assigned projects as requested</li>
<li>Ad hoc reporting (with established process)</li>
<li>Review management fees for new move-ins</li>
<li>Review fee settings on vacant properties</li>
<li>Manage recurring JEs/recurring bills</li>
</ul></li><li>Administrative expectations:</li>
<li><ul><li>Participate in setting and meeting SMART goals on a monthly and quarterly basis</li>
<li>Attend weekly company meetings</li>
<li>Participate in company initiatives</li>
</ul></li>
</ul><p></p><h3 class="jobSectionHeader"><b>Required Qualifications:</b></h3><ul>
<li>Background in Accounting or proven understanding of basic accounting principles</li>
<li>Experience with Appfolio</li>
<li>Intermediate proficiency in Microsoft Excel and Google Sheets</li>
<li>Good command of written communication</li>
<li>Excellent problem-solving skills</li>
<li>Detail-oriented</li>
<li>Able to understand new concepts with written and hands-on support</li>

Preferred Qualifications:</b></h3><ul>
<li>Experience in Google Suite products</li>
<li>Understanding of property management accounting</li>

<li>The job of Trust Accounting Specialist is performed in a work-from-home environment</li>
<li>Expectation of set working hours of overlap with Mountain, Central, or Eastern Standard Time</li>
<li>Virtual communication is routine, so must have reliable internet connection and use of a webcam
