Job OverviewWe are seeking a dynamic and highly organized Administrative Assistant to join our team! This paid position offers an exciting opportunity to develop your skills in office management, customer service, and technical proficiency within a fast-paced setting.Responsibilities<ul><li>Manage phone calls, and messaging system for patient scheduling and requests</li><li>Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and records</li><li>Perform data entry tasks with accuracy using Microsoft suite software and electronic health record to update patient information and internal databases</li><li>Assist with calendar management and scheduling appointments for patients</li><li>Handle front desk duties including greeting visitors, managing visitor logs, and providing a welcoming environment</li><li>Support bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar software</li><li>Proofread correspondence, reports, and other documents to ensure clarity, accuracy, and professionalism</li></ul>Experience<ul><li>Premed students and/or medical background a plus.</li><li>Previous office management or administrative experience is preferred; candidates with strong clerical backgrounds are encouraged to apply</li><li>Proficiency in Microsoft Office Suite (Teams, Word, Excel, Outlook) and familiarity with Google Workspace applications is essential</li><li>Bilingual skills are highly valued to assist diverse client needs effectively</li><li>Demonstrated ability to handle phone communication with excellent phone etiquette and customer service skills</li><li>Strong organizational skills with the ability to multitask efficiently in a fast-paced environment</li><li>Technical proficiency in computer literacy including data entry, proofreading, filing systems, and document management</li><li>Join us as an Administrative Assistant where your proactive attitude and organizational expertise will make a meaningful impact every day!
