It is helping to address the limited institutional and systems capacity in India by strengthening education and training, advancing research and technology and facilitating policy and practice in the area of Public Health. PHFI is headquartered in New Delhi with national presence through its constituent units of regional Indian Institutes of Public Health (IIPHs) and Centers of Applied Research in core public health themes. The Foundation, established in 2006 as a public private initiative, is governed by an independent board comprising of senior government officials, eminent Indian and International academic and leaders, civil society representatives and corporate leaders.  Deliverables
 
 
 
 The incumbent will work under the direct supervision of the Head of Administration and will perform the following:
 
 
 
 Office Operations
 
 
 
 <ul>
 <li>
 Ensure smooth day-to-day office operations, including facility management and supplies. Coordinate logistic requirements for the office, including supplies, equipment and maintenance, facility management, etc.
 </li>
 <li>
 Foster a collaborative and supportive work environment to maximise team efficiency.
 
 
 </li>
 </ul>
 
 Tendering And Procurement
 
 
 
 <ul>
 <li>
 Execute procurement and tendering processes in accordance with organisational policies and procedures.
 </li>
 <li>
 Ensure full compliance with internal policies and regulatory requirements throughout the procurement lifecycle.
 </li>
 <li>
 Ensure compliance with PHFI policies and procedures throughout the procurement process.
 
 
 </li>
 </ul>
 
 Fixed Asset Management
 
 
 
 <ul>
 <li>
 Maintain SOPs for asset procurement and management. Ensure proper tagging and tracking of assets. Fixed Asset Management and record-keeping
 </li>
 <li>
 Conduct periodic physical verification of assets.
 
 
 </li>
 </ul>
 
 Record Keeping And Reporting
 
 
 
 <ul>
 <li>
 Maintain accurate records, prepare reports, and compose correspondence related to administrative activities.
 </li>
 <li>
 Provide regular updates to senior management on the status of administrative operations.
 
 
 </li>
 </ul>
 
 Financial Management
 
 
 
 <ul>
 <li>
 Execute plans, policies, and programs related to business and financial affairs, property and equipment, supplies, facility management services, catering service, inventory, buildings and grounds maintenance, engineering, and safety programs.
 </li>
 <li>
 Develop budget recommendations for operating expenditures and capital outlay, and maintain proper records.
 
 
 </li>
 </ul>
 
 Events/conferences
 
 
 
 <ul>
 <li>
 Organise national and international conferences, workshops, meetings, etc., as required.
 </li>
 <li>
 Manage all logistical arrangements, including venue booking, travel arrangements, and participant coordination.
 
 
 </li>
 </ul>
 
 Inventory Management
 
 
 
 <ul>
 <li>
 Maintain an inventory of equipment and goods for the project office/company.
 </li>
 <li>
 Ensure adequate stock levels are maintained, and procurement processes are executed efficiently.
 
 
 </li>
 </ul>
 
 Travel Management
 
 
 
 <ul>
 <li>
 Coordination with Travel agencies for Travel services (ticket booking/visa purchase/hotel bookings,/Bill processing/account reconciliation, etc. )
 
 
 </li>
 </ul>
 
 Team Coordination
 
 
 
 <ul>
 <li>
 Coordinate activities by scheduling work assignments, setting priorities, and directing subordinate employees.
 </li>
 <li>
 Foster a collaborative and supportive work environment to maximise team efficiency.
 
 
 </li>
 </ul>
 
 Vendor Management
 
 
 
 <ul>
 <li>
 Empanelment of vendors/Identifying new vendors/agencies as and when required
 </li>
 <li>
 Vendor contracts/agreements/AMCs
 </li>
 <li>
 Vendor payment processing and account reconciliation
 
 
 </li>
 </ul>
 
 Program Planning And Policy Formulation
 
 
 
 <ul>
 <li>
 Ensure operations adhere to policies and regulations.
 </li>
 <li>
 Formulate current and long-range programs, plans, and policies for departmental programs.
 </li>
 <li>

 Education
 
 
 
 
 Essential:
 
 
 
 <ul>
 <li>
 Bachelor&rsquo;s degree in Business Administration, Management, or a related field. Master&rsquo;s degree preferred.
 
 
 </li>
 </ul>
 
 Experience
 
 
 
 
 Essential:
 
 
 
 <ul>
 <li>
 Minimum 4&ndash;5 years of relevant experience in administration, with at least 3 years in a supervisory or managerial role.
 </li>
 <li>
 Proven experience in managing office operations, procurement, and administrative functions.
 </li>
 <li>
 Strong leadership and team management capabilities, with the ability to supervise and guide teams effectively.
 </li>
 <li>
 Understanding of office management procedures, systems, and compliance requirements. n-in-depth understanding of office management procedures and policies Proficiency in MS Office/Excel.
 </li>
 <li>
 Knowledge of procurement processes, vendor management, and inventory control.
 </li>
 <li>
 Experience in budget monitoring, financial planning, and expense tracking.
 </li>
 <li>
 Excellent organisational and multitasking abilities. Effective communication and interpersonal skills
 </li>
 <li>
 Ability to work under pressure, manage competing priorities, and meet tight deadlines.
 </li>
 <li>
 Ability to make logical decisions and ensure transparency
 
 
 </li>
 </ul>
