This includes coordinating office functions and program support to include: providing excellent customer service to clients and visitors, supply inventory/ordering, records keeping, assisting program staff and Health Director, supervising office staff, organizing meeting logistics, office &amp; vehicle maintenance, office communication, and coordinates IT support.PRIMARY JOB DUTIES<ul><li>Contribute positively as a member of the PHS team.</li><li>Responsible for all functions of the front office. Assure efficient organization and function of front office.</li><li>Professional representation of Public Health Solutions to the public when greeting them on the phone and at the front desk.</li><li>Responsible for front office coverage, public reception, and supervision of all front office support staff.</li><li>Willing to be flexible to adjust hours, including possibly staying late, as needed for office coverage.</li><li>Prioritize, supervise, and coordinate job assignments of office staff.</li><li>Maintains calendar and scheduled appointments for various departments.</li><li>Serve as Administrative Clinical Coordinator including scheduling client appointments and managing clinic flow.</li><li>Manages all vehicle, facility, and IT maintenance. Serves as liaison to outside entities to ensure resolution of issues.</li><li>Maintains department inventory.</li><li>Coordinate logistics for meetings and office events.</li><li>Prepare &amp; file meeting agendas and minutes.</li><li>Maintains/distributes ingoing and outgoing mail for the organization.</li><li>Adheres to strict confidentiality regulations.</li><li>Prepares routine reports and submit in a timely manner.</li><li>Other duties as assigned. policies and procedures</li></ul>KNOWLEDGE, SKILLS, AND ABILITIES<ul><li>Team oriented work style and ability to work with minimal supervision.</li><li>Ability to maintain confidentiality.</li><li>Experience using Microsoft Office programs, especially Word and Outlook.</li><li>Excellent customer service skills.</li><li>Organized and efficient at time management and the ability to multi-task.</li><li>Prioritizes punctuality and attendance.</li><li>Ability to demonstrate cultural competence.</li><li>General knowledge of standard office equipment including printer, fax, multi-line telephone system, computers.</li></ul>REQUIREMENTS:EDUCATION: A high school diploma or GED is required. An Associate degree or Bachelor&rsquo;s degree in business or office management preferred but not required.EXPERIENCE: Office Management and experience using Microsoft Office programs especially Word and Outlook required.OTHER:<ul><li>A valid driver&rsquo;s license and auto insurance coverage is required and must be able to safely operate a vehicle.</li><li>While performing the duty of this job, the employee is frequently required to sit, use hands, talk, and hear.</li><li>This position is 100% on-site and does not include remote or hybrid work.</li><li>May occasionally lift and/or move up to 40 pounds.</li><li>Experience in medical billing helpful but not required for the job.</li><li>Bilingual (English-Spanish) is preferred but not a requirement for the position.</li></ul>COMPENSATION:Initial compensation will commensurate with education, experience, and qualifications for the job.
