 Job Summary:
 
 
 
 The Administrator &amp; Document Controller provides critical administrative support and oversees the systematic control, distribution, and maintenance of documents and records across the Master Community Department. This role ensures compliance with internal governance, master community protocols, and Qiddiya documentation standards. It plays a key part in ensuring efficient coordination, communication, and documentation tracking for all stakeholders within master community operations.
 
 
 
 
 
 
 Roles &amp; Responsibilities (including but not limited to) Document Control Duties:
 
 
 
 1. Create where necessary, implement and manage document control processes and systems aligned with Qiddiya&rsquo;s document management protocols.
 
 
 2. Register, scan, file, archive, and distribute all incoming and outgoing documentation (including permits, contracts, plans, correspondence, and approvals).
 
 
 3. Ensure version control and traceability for all documents.
 
 
 4. Maintain document logs, registers, and control sheets for approvals, submissions, and regulatory records.
 
 
 5. Track document workflows and ensure timely responses from internal and external stakeholders. 6. Support audits and compliance checks by ensuring all documentation is readily available and correctly filed.
 
 
 
 
 
 
 Administrative Support:
 
 
 
 1. Provide day-to-day administrative support to the Master Community Department team, including scheduling meetings, preparing agendas, and taking minutes.
 
 
 2. Maintain and manage internal databases, contact lists, and stakeholder directories.
 
 
 3. Assist in preparing reports, presentations, and dashboards for internal reviews or external briefings.
 
 
 4. Support coordination with other departments, consultants, contractors and regulatory bodies.
 
 
 5. Organize filing systems (digital and physical), ensuring alignment with Qiddiya records management policies.
 
 
 
 
 
 
 Project and Stakeholder Coordination:
 
 
 
 1. Facilitate the distribution and tracking of documentation to stakeholders, other departments, consultants and contractors.
 
 
 2. Assist in managing the coordination of submissions and correspondence.
 
 
 3. Ensure document dependencies are met and records are synchronized where required.
 
 
 
 
 
 
 Compliance &amp; Confidentiality:
 
 
 
 1. Ensure confidentiality and secure handling of sensitive project, legal, and financial documents.
 
 
 2. Support compliance with Qiddiya&rsquo;s data governance, operational and master community regulatory requirements.
 
 
 3. Report and escalate non-compliant document practices
 
 
 
 
 
 
 Skills &amp; Competencies (including but not limited to)
 
 
 
 1. Strong proficiency in document control systems (e.g., Aconex, SharePoint, or EDMS platforms).
 
 
 2. Excellent organizational and time management skills.
 
 
 3. Detail-oriented with a proactive approach to problem-solving.
 
 
 4. Fluent written and verbal communication in English; Arabic an advantage.
 
 
 5. Ability to work collaboratively in a dynamic, multi-disciplinary environment.
 
 
 
 
 
 
 Qualifications &amp; Experience (including but not limited to):
 
 
 
 1. Diploma or Bachelor&rsquo;s degree in Business Administration, Records Management, or related field. 2. 3-5 years of experience in document control or administrative roles, preferably within real estate, construction, or urban development.
 
 
 3. Experience within a master community, developer, or large-scale urban projects (preferred but not mandatory)
