Weekends as needed.</li></ul>Why Join the Quail West Team?<ul><li>Free Employee Meals</li><li>Excellent Paid Time Off program</li><li>Free Employee Assistance Program, Short-term Disability, and Life Ins</li><li>Discounts on retail items at the Golf Shop &amp; Salon</li><li>Amazing parties &amp; celebrations throughout the year</li><li>Great Benefits (medical, dental, vision, &amp; more!)</li><li>Playing and practice privilege</li><li>And many more!</li></ul>What You&rsquo;ll Do<ul><li>Assist the Director with daily HOA operations, capital projects, and strategic initiatives.</li><li>Serve as acting operational lead in the Director&rsquo;s absence, ensuring workflow continuity and timely decision-making.</li><li>Supervise, train, evaluate, and maintain time records for the HOA Coordinator.</li><li>Professionally manage and de-escalate homeowner concerns using diplomacy and solution-oriented communication.</li><li>Coordinate across security, landscaping, property services, compliance, and administrative teams to ensure efficient community operations.</li><li>Conduct routine property inspections and initiate, track, and verify completion of work orders.</li><li>Oversee ARB administrative processes including application intake, review coordination, and communication with applicants.</li><li>Prepare ARB &amp; HOA Committee meeting agendas, supporting documentation, and official minutes; publish decisions and maintain accurate records.</li><li>Monitor approved construction and renovation projects for compliance with approved plans and governing standards.</li><li>Track renovation and new construction timelines, including Site Plan Management (SMP) progress.</li><li>Coordinate ARB billing, refunds, consultant invoicing, and builder compliance requirements.</li><li>Oversee HOA/ARB compliance tracking and work order management software.</li><li>Maintain governance records, community website, and Rules &amp; Regulations updates.</li><li>Issue No Objection Letters and manage closing-related documentation.</li><li>Process invoices, credit card transactions, and checkbook entries in accordance with established internal controls.</li><li>Track capital project invoices and support budget alignment and monitoring.</li><li>Assist with annual budget and capital planning.</li><li>Support monthly financial closing procedures and documentation.</li><li>Coordinate community recognition programs (e.g. Yard of the Month)</li></ul>RequirementsWhat We&rsquo;re Looking For<ul><li>Active Florida Community Association Manager (CAM) license is required.</li><li>Requires a high school diploma or GED; bachelor&rsquo;s or associate degree preferred.</li><li>Minimum of 5 years&rsquo; experience directly related to Community Association Management for large scale community 500+ homes specifically for Homeowner Associations.</li><li>Requires ARC/ARB experience for homeowner&rsquo;s association, a minimum of 3-5 years preferred.</li><li>Strong knowledge of Florida Statutes Chapter 720, governing documents, and HOA operational best practices.</li><li>Demonstrated leadership experience supervising administrative or operations staff within a community association.</li><li>Strong organizational, leadership, regulatory knowledge, financial acumen, demonstrated professionalism, and exceptional communication skills.</li><li>Must be able to use MS Office Suite, particularly Outlook, Excel and Word. Must be able to adapt to management software, work order, and computer programs being utilized.</li><li>Notary Public (helpful for closings and association documentation).</li><li>Must have strong multi-tasking and organizational skills</li><li>Ability to interpret governing documents, policies, and applicable statues.</li><li>Ability to interpret and follow verbal and written instructions.</li><li>Ability to communicate effectively, both verbally and in writing and exercise diplomacy.</li><li>Professional judgment, discretion, and confidentiality in handling records and resident matters.</li><li>Interpersonal skills necessary to effectively interface with all levels of personnel and work in a team environment.</li></ul>Why You&rsquo;ll Love It Here: At Quail West, we believe in recognizing great work, celebrating milestones, and creating a workplace where people love to come to work.
