Position Overview
We are looking for an experienced Translation/Localization Project Manager to play a critical leadership role in managing translation projects, building client relationships, and driving operational excellence. This position is ideal for a highly organized, detail-oriented professional who enjoys balancing project management, client communication, reporting, and process improvement.
In addition to managing complex and high-volume translation projects, this role is responsible for client quoting, invoicing oversight, linguist onboarding, reporting, and supporting revenue growth initiatives.
Key Responsibilities
Translation Project Management<ul><li>
Manage translation projects from initial client request through final delivery and invoicing.</li><li>
Coordinate translators, editors, and other language professionals to ensure quality and on time delivery.</li><li>
Manage large-scale, enterprise-level, and complex translation projects.</li><li>
Utilize Phrase and other translation technologies as required.</li><li>
Maintain project documentation and ensure compliance with internal procedures.</li><li>
Build relationships with clients by communicating proactively with clients and linguists throughout the project lifecycle.</li></ul>
Client Quoting &amp; Revenue Support<ul><li>
Prepare accurate translation quotes, including pricing and delivery timelines.</li><li>
Follow up on outstanding quotes and maintain quote tracking reports.</li><li>
Identify opportunities to expand services and contribute to revenue goals.</li></ul>
Invoicing &amp; Accounts Receivable<ul><li>
Review completed projects and prepare accurate billing documentation.</li><li>
Verify project charges and vendor invoices.</li><li>
Coordinate with accounting to ensure proper billing.</li><li>
Assist with collection efforts on past-due client invoices as needed.</li><li>
Ensure project records are accurately maintained in HubSpot.</li></ul>
Reporting &amp; Process Management<ul><li>
Prepare operational reports and project updates for management.</li><li>
Present translation project updates during weekly team meetings.</li><li>
Complete quarterly reporting requirements.</li><li>
Maintain accurate client and project records.</li><li>
Review, update, and document work instructions and operational processes.</li></ul>
Client Relationship Management<ul><li>
Monitor client activity and identify customers requiring outreach.</li><li>
Maintain strong client relationships and account retention.</li><li>
Help ensure exceptional client satisfaction and service delivery.</li></ul>
Linguist Recruitment &amp; Onboarding<ul><li>
Source, screen, and qualify freelance translators and linguists.</li><li>
Review applications, resumes, rates, and experience.</li><li>
Manage onboarding documentation and agreements.</li><li>
Maintain internal linguist databases and records.</li></ul>
Additional Responsibilities<ul><li>
Assist with case study development and marketing content.</li><li>
Share industry trends and topics for marketing communications.</li><li>
Support operational initiatives and complete special projects as assigned.</li></ul>
Qualifications
Required<ul><li>
Bachelor's degree or equivalent experience.</li><li>
Minimum of 3 years of successful experience as a Translation/Localization Project Manager.</li><li>
Strong written and verbal communication skills.</li><li>
Exceptional grammar, proofreading, and attention-to-detail skills.</li><li>
Demonstrated ability to manage multiple priorities and deadlines.</li><li>
Strong problem-solving and organizational abilities.</li><li>
Proven ability to work independently in a remote environment while collaborating effectively with a team.</li><li>
Client-focused mindset with a proactive, positive attitude.</li><li>
Experienced with TMS, preferably Phrase.</li></ul>
Preferred<ul><li>
Experience managing complex or enterprise-level translation projects and relationships.</li><li>
Familiarity with HubSpot, Phrase, CAT tools, Adobe Acrobat, Adobe InDesign, WordPress, and WPML.</li><li>
Previous experience working remotely.</li></ul>
