Provide daily administrative and secretarial support to Top Management, including preparing letters, handling calls, follow-ups, and assigned tasks.Coordinate Top Management schedules, meetings, appointments, and meeting room arrangements to ensure smooth daily operations.Prepare meeting agendas when required, attend management meetings, record minutes of meeting, and follow up on assigned action points.Arrange signature files and coordinate with different departments to ensure important documents are reviewed and signed within the required timeline.Welcome visitors, clients, and business guests professionally, and ensure a positive front office experience.Handle incoming phone calls, messages, and general inquiries, and redirect them to the departments concerned or individuals.Receive emails from the company website, respond when required, and forward inquiries to the relevant departments for necessary action.Receive, record, and distribute incoming mail, documents, and correspondence to the concerned departments.Coordinate with head office departments regarding administrative needs, meeting requests, documentation, and management follow-ups.Prepare, write, and distribute routine correspondence, internal memos, and administrative documents as required.Maintain proper filing, records, databases, contact lists, and confidential documents in an organized and secure manner.Monitor office supplies and inventories and coordinate supply requests to ensure office readiness.Support the implementation of administrative procedures and ensure compliance with company standards.Arrange travel bookings and related requirements for Top Management when required.Assist other departments with administrative coordination when needed.Perform any other related duties assigned by Top Management in line with business needs.Requirements and Specifications&middot; Bachelor&rsquo;s degree (Business administration, English literature, or any related field)&middot; Female&middot; Arab nationality&middot; Bilingual: Arabic and English&middot; Fluent English is required&middot; Previous experience as a Receptionist, Secretary, Front Desk Officer, or Administrative Assistant&middot; Experience in coordinating meetings and handling administrative follow-ups&middot; Good Microsoft Office skills, especially Word, Excel, and PowerPoint&middot; Ability to prepare agendas and record minutes of meeting&middot; Strong professional communication with visitors, employees, and management&middot; Presentable, organized, and able to represent the company image professionally&middot; Ability to handle confidential information with discretion<ul><li>Previous experience in a corporate head office environment is preferred</li></ul>Work Location: In person
