 <p>The Administrative Coordinator manages and oversees the day-to-day operations and administrative support activities of the Dean of Students Office (DOSO), Conference Room, and Off-Campus Community Center. The Administrative Coordinator serves as the primary point of contact for both internal and external constituencies, assists and represents DOSO in communicating with constituents, and handles multiple issues and concerns as they arise. The Administrative Coordinator coordinates logistics for programming and completes special projects as needed by offices in the Dean of Students portfolio.</p>

<div></div><p><b>Representative Job Duties:</b></p>
<ul><li>Manage daily office routines to ensure efficient and effective office operations. Triage incoming calls and serve as first point of contact. Provide DOSO staff with all relevant information to provide timely responses and follow-up. Assist the DOSO in planning, organizing prioritizing and coordinating the timely assignment, follow-up and completion of work and projects. Track and record leave time for DOSO. Ensure that new employees are appropriately processed for payroll and proper procedures are followed for employment separations</li>
<li>Plan and maintain complex, busy and shifting schedules of appointments, meetings and travel. Ensure members of the DOSO staff are prepared with essential information and background for each meeting and/or trip. Draft travel itineraries, reserve lodging, set up meeting rooms, and handle all logistics associated with these activities. Prepare and process travel and expense reports in accordance with Institute policies</li>
<li>Record Management: Develop and maintain an efficient, confidential records management system to ensure immediate availability of materials. Assist with the maintenance and coordination of judicial and/or student intervention case files in case management system (Maxient)</li>
<li>Train, supervise and schedule work-study students. Assure that work is done in a timely manner and evaluate performance. Prepare all work-study paperwork coordinating with financial aid and payroll. Prepare student, bi-weekly and semi-monthly payroll</li>
<li>Utilize enterprise-wide Institute systems (Banner and Data Warehouse) and subsidiary systems to monitor financial activity and provide reports to the DOSO and the Student Experience Business Manager. Monitor spending to ensure adherence to general policies and guidelines. Identify and resolve discrepancies in accordance with Institute and DOSO portfolio standards and policies</li>
<li>Maintain inventory of office supplies which includes ordering and invoice processing through OSCAR and Banner</li>
<li>Coordinate communication, marketing, and social media efforts for any DOSO programming and educational initiatives. Arrange event details including but not limited to purchasing supplies or equipment, catering, reserving space, setting up and tearing down</li>
<li>Ensure that public spaces in Academy Hall are adequately maintained by inspecting public areas on a weekly basis and initiating service requests as needed. Monitor any possible safety concerns. Coordinate with the Student Experience Operations Manager if required to manage larger repair projects</li>
<li>Other duties and special projects as assigned</li>

<p><b>Starting Salary/Rate:</b></p>
<p><b>Expected hiring range:</b> $20.00 - $23.75 / hr</p>

Programmatic responsibilities include coaching students on academic probation, supporting at-risk student populations through early intervention, and participating in outreach activities of the Student Success Center to relevant campus offices including Student Life, Financial Aid, and the Registrar. <ul><li>Provide individualized, proactive coaching to an assigned caseload of undergraduate students. Utilize evidence-based and strengths-based coaching approaches to help students set realistic goals, develop personalized success plans, build self-efficacy, and take ownership of their academic journey. Conduct regular check-ins, follow-ups, and outreach via multiple communication channels.</li>
<li>Meet with students on a regular basis to assess academic progress and address barriers to success including time management, study skills, motivation, and degree completion requirements. Make referrals to appropriate campus support services as needed.</li>
<li>Develop, implement, and monitor academic intervention plans for students on academic probation and/or financial aid probation. Support student participation in the Student Success Labs program and serve as an instructor or co-facilitator for the Student Success course designed for students on probation. Collaborate with campus partners to support students in returning to good academic standing and making measurable progress toward their degree.</li>
<li>Utilize motivational interviewing and goal-setting techniques to assist students in identifying challenges, developing resilience, and building a growth mindset. Support students in developing self-regulation skills and strategies specific to their course demands.</li>
<li>Maintain accurate and timely documentation of all student interactions, coaching session notes, referrals, and progress updates in designated student information systems. Contribute to data collection and reporting on student success outcomes and program effectiveness.</li>
<li>Collaborate with faculty, staff, and campus partners across the Student Success Center, academic departments, and student services offices to provide coordinated, holistic support to students and promote integrated student success initiatives. Demonstrate cultural competence and a commitment to equity in serving students from diverse backgrounds, identities, and lived experiences, including first-generation students, students with disabilities, and historically underrepresented populations.</li>
<li>Develop and facilitate workshops, group coaching sessions, and outreach programming on topics related to academic success, including time management, study strategies, stress management, and goal-setting, in coordination with Student Success Center programs and events.</li>
<li>Participate in undergraduate recruitment efforts and new student orientation activities as a representative of the Student Success Center, including meetings with prospective students and families as specified by Enrollment Management. Serve on departmental and divisional committees as assigned to contribute to institutional planning and student success initiatives.</li>
<li>Contribute to training and professional development initiatives for staff, faculty advisors, and peer coaches on best practices in academic coaching and student success strategies.</li>
