<ul><li>
Composes and types correspondence and inter-office communications involving some interpretation and application of established policies and procedures.</li><li>
Performs a variety of operational support duties for the property management office.</li><li>
Receives visitors and answers telephone calls; determines purpose of calls and visits, and furnishes information from knowledge of agency policies, rules and procedures.
</li><li>Schedules tenant eligibility appointments and interviews residents.</li><li>
Enters and updates resident information using a computerized database.</li><li>
Generate acknowledgement, appointment, verification needed, withdrawal letters and mail to applicants.</li><li>
Prepares new tenant move-in and lease reading packages.</li><li>
Conducts and processes annual tenant re-examinations</li><li>
Accurately updates and processes rent calculations, adjustments, and interim rent changes.</li><li>
Maintains an accurate filing and record keeping system for the office.</li><li>
Exhibits excellent customer service and communication skills when communicating to the internal and external customers.</li><li>
Prepares and types a variety of material which includes standardized and statistical reports that involve selection and verification of data and establishment of appropriate format.</li><li>

Education: Completion of a high school diploma or a GED program

Experience: Three or more years&rsquo; experience performing complex clerical functions. Proficiency using Microsoft Office applications to develop and present information. Strong customer service, time management, planning, organizational, analytical and math skills.

Preferred Qualifications: Bachelor&rsquo;s Degree. One or more years of public housing work experience. Certification of Eligibility, Occupancy, and Rent Calculation from an RRHA approved trainer. Work experience and proficiency using YARDI or other property management software.</div>

Senior Office Support Specialist

<div>This is supervisory work managing the day-to-day operations of single and multi-family properties, consisting of 500 to 700 units, directly and through subordinate staff. An employee in this class is responsible for budget preparation and execution, lease enforcement, unit occupancy, tenant relations, and property maintenance. Work includes supervising a staff involved in managing a housing development, such as lease readings, rent collection, property inspections, property and unit repairs, records maintenance, and resident economic independence programs. Work is performed with considerable independence of action under the general supervision of the Assistant Director for Housing Management. 


Essential Duties and Responsibilities

Collect rent and other charges from residents</li><li>
Process requests for rent adjustments in accordance with established procedures</li><li>
Prepare and monitor annual site budget; monitor expenses according to guidelines</li><li>
Follow-up with delinquent accounts and pursue collections</li><li>
Maintain tenant files and related documents regarding eligibility and rent adjustments</li><li>
Lease units i.e., showing property, reviewing and signing lease, and collecting deposits</li><li>
Conduct tenant orientation and provides information regarding rent schedules, payment dates and property rules and regulations</li><li>
Collects and/or monitors the bank collection of monthly payments; records delinquencies and accounts in collection</li><li>
Coordinates vacant unit preparation with maintenance staff; recommend capital improvement projects as needed</li><li>
Conducts property inspections, move-in, move-out, housekeeping, and grounds; notes deficiencies and takes appropriate follow-up measures to correct the problem</li><li>
Maintains records of the status of assigned units, i.e., filled, vacant, and anticipated vacancies</li><li>
Conducts evictions and works with security personnel in eviction cases; represents the Authority in court appearances required for eviction cases</li><li>
Respond to after hours emergencies on nights, weekends, and holidays</li><li>
Counsel residents who do not comply with terms of the lease</li><li>
Resolve resident conflicts and complaints in an effort to resolve problems and avoid grievances</li><li>
Recommends evictions for residents who fail to comply with rules and regulations; prepare documentation to support recommendation</li><li>
Participates in hearings and appeals as needed</li><li>
Supervise property management and maintenance personnel</li><li>
Conduct employment interviews and make hiring recommendations</li><li>
Draft performance expectations and counsel employees on goals and objectives; document performance problems according to established policy and guidelines</li><li>
Counsel employee on disciplinary issues; recommend appropriate action as needed</li><li>
Recommend training to professional, administrative, and maintenance staff as needed.</li></ul>

Education: Successful completion of a bachelor's degree in management, business, public administration, or any related social science field. 
Experience: Five years of experience in property management. Must obtain certification as a Public Housing Manager (PHM) or Certified Property Manager (CPM) within two years of employment. 
Preferred Qualifications: Certification as a Public Housing Manager (PHM), Certified Property Manager (CPM.) Prior work experience in public housing property management and tax credit programs is preferred
