Job Title: Real Estate Administrative Assistant / Secretary Job / Account AssistantTo provide efficient administrative, secretarial and accountant support to the real estate department or management, ensuring smooth day-to-day operations, compliance with Dubai Land Department (DLD) and RERA regulations, and effective communication with clients, tenants, and other stakeholders.Key Responsibilities1. Administrative &amp; Secretarial Support<ul><li>Manage office correspondence, including emails, calls, and in-person inquiries.</li><li>Prepare, format, and maintain documents such as tenancy contracts, Ejari certificates, quotations, invoices, and official letters.</li><li>Schedule and coordinate meetings, property viewings, and appointments for management or agents.</li><li>Maintain an organized filing system (physical &amp; digital) for contracts, property records, and client information.</li><li>Draft professional letters, memos, and reports.</li></ul>2. Real Estate Documentation<ul><li>Prepare and process tenancy contracts, addendums, and renewals in compliance with UAE tenancy laws.</li><li>Handle Ejari registrations, cancellations, and updates via the DLD portal.</li><li>Track and follow up on lease expiries, rent renewals, and payment schedules.</li><li>Process security deposits, rent receipts, and related financial documentation.</li></ul>3. Client &amp; Tenant Coordination<ul><li>Serve as the primary point of contact for tenants, landlords, and prospective clients.</li><li>Address tenant queries, complaints, and maintenance requests promptly.</li><li>Assist in arranging property inspections, move-in/move-out procedures, and handovers.</li><li>Follow up on overdue payments and coordinate with accounts for collections.</li></ul>4. Regulatory Compliance<ul><li>Stay updated on Dubai tenancy laws, RERA guidelines, and DLD procedures.</li><li>Ensure all contracts and transactions meet regulatory requirements.</li><li>Maintain accurate property listings and marketing materials in compliance with advertising standards.</li></ul>5. Office &amp; Operational Support<ul><li>Order and manage office supplies.</li><li>Assist with marketing materials, social media postings, and property advertisements.</li><li>Support management in preparing presentations, market reports, and other business documents.</li></ul>6. Additional Admin Support<ul><li>Owner has another company (coffeeshop) responsible in placing orders for the food and handling admin works.</li></ul>7. Accounts Background<ul><li>Assist with monthly, quarterly, and annual financial reports.</li><li>Assist with preparation and filing of VAT return.</li><li>Reconcile Bank statements, cheque records, customer ledger and vendor accounts.</li><li>Track customer payments, rent collections and follow up on outstanding balances.</li></ul>Skills &amp; Qualifications<ul><li>Education: Diploma or Bachelor&rsquo;s degree in Business Administration, Real Estate, or related field.</li><li>Experience: Minimum 2 years in an administrative/secretarial role, preferably in real estate or property management in Dubai.</li><li>Technical Skills: Proficiency in MS Office (Word, Excel, Outlook, PowerPoint), knowledge of DLD/Ejari portal</li><li>Accounts: Proficiency in Tally ERP 9 / Tally Prime.</li><li>Language: Excellent written and verbal communication skills in English</li><li>Other Skills:</li><li>Strong organizational and multitasking abilities.</li><li>Customer service orientation.</li><li>Ability to work under pressure and meet deadlines.</li><li>Excellent analytical and problem-solving skills, with high attention to details and accuracy.</li><li>Strong ethics and integrity, ensuring confidentiality and data security.</li></ul>CAN JOIN IMMEDIATELYJob Type: Full-timePay: AED5,000.00 - AED6,000.00 per month
