Position Summary</b><br>
The Front Office Receptionist/Administrative Assistant serves as the first point of contact for the Roosevelt School District. This position provides high-quality customer service to staff, families, and the community, while performing a variety of administrative and clerical duties to support the District Office, Superintendent's Office, and Human Resources. The role requires professionalism, confidentiality, and the ability to triage and prioritize in a busy office environment.</div><div><b>
Essential Duties and Responsibilities</b></div><ul><li>
Greet and welcome the public, staff, and visitors to the District Office in a professional and courteous manner.</li><li>
Screen visitors, conduct background checks, and process fingerprinting as required by District policies.</li><li>
Manage badging processes for employees, contractors, and visitors.</li><li>
Answer, screen and route phone calls to appropriate staff, respond to inquiries, and schedule appointments along with providing accurate information to caller.</li><li>
Provide translation/interpretation support for families and staff as needed.</li><li>
Handle customer service matters, including addressing complaints and resolving concerns or directing them appropriately.</li><li>
Provide clerical support to the Superintendent's Office, including scheduling, filing, and document preparation.</li><li>
Conduct research and prepare reports, correspondence, and other materials as assigned.</li><li>
Assist the Human Resources department with HR duties, such as filing, data entry, and processing forms.</li><li>
Help with HR events such as trainings, employee engagement activities, and recognition programs</li><li>
Support compliance efforts by ensuring proper documentation is collected and maintained.</li><li>
Support benefits administration by distributing materials, assisting with enrollment, and answering general employee questions</li><li>
Assist with scheduling interviews and coordinating recruitment activities</li><li>
Assign access cards for internal employees and visitor badges for external guests</li><li>
Receive, scan, and distribute daily mail</li><li>
Maintain a clean reception area and keep conference rooms prepared for meetings.</li><li>
Serve as support to HR Analysts by assisting with document preparation, data entry, and general administrative tasks related to personnel services.</li><li>
Participate in HR Cross Training opportunities</li><li>
Perform general office tasks such as copying, scanning, filing, ordering supplies, and maintaining office equipment.</li><li>
Maintain confidentiality of sensitive and personnel-related information.</li><li>
Other duties as assigned.</li></ul><div><b>
Knowledge, Skills, and Abilities</b></div><ul><li>
Strong interpersonal skills with the ability to interact effectively with diverse populations.</li><li>
Excellent verbal and written communication skills.</li><li>
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office equipment.</li><li>
Ability to prioritize tasks, manage multiple responsibilities, and work independently in a fast-paced environment.</li><li>
Bilingual skills preferred (English/Spanish).</li><li>
Knowledge of basic HR processes is desirable.</li></ul><div><b>
Minimum Qualifications</b></div><ul><li>
High school diploma or equivalent required; associate degree preferred.</li><li>
At least two years of clerical, reception, or administrative experience; school district or public sector experience preferred.</li><li>
Fingerprint clearance card required (or ability to obtain upon hire).</li></ul><div><b>
Working Conditions</b></div><ul><li>
Standard office environment with frequent interaction with the public.</li><li>
Occasional evening or weekend hours may be required for District events.</li></ul><div><b>
Salary</b><br>
Classified Hourly Salary Schedule. Level F | Entry Level: $18/hr</div></div></ul></div><p></p>
