ABOUT THE ROLEThe Site Operations Manager oversees and reports on the daily operations of the MRO storeroom, determines proper inventory levels and methods, and analyzes spend to provide cost savings and storeroom improvements. The Site Operations Manager collaborates with various corporate departments on procurement, systems integration, customer invoicing, and vendor payments. The Site Manager drives customer satisfaction through building strong customer relationships and ensuring excellent customer service from the staff. This role aims to achieve metrics per the customer contract and SOA strategic imperatives related to Cost Savings, Stock Outs, Time in Full Delivery, Compliance, Safety &amp; Environmental, Material Savings, and Process Improvements. This includes negotiating, developing, and managing multi-disciplined projects, as well as tracking and managing business results and routinely sharing and presenting those results regularly to the client. The Site Manager demonstrates value to the customer by achieving business goals and objectives, providing measurable cost savings, and identifying storeroom quality improvements. The key to success is conveying a vision for best-in-class storeroom management within the contractual terms.COMPENSATION: $83K - $90kSCHEDULE: Mon - Fri | Monday&ndash;Friday. Flexibility required for shifts that may fall anytime between 8 AM and 7 PM.DIRECT REPORTS: 2KEY RESPONSIBILITIES <ul><li>Responsible for the on-site supervision of all aspects of MRO and storeroom management operations encompassing customer service, supply chain management, purchasing, receiving and inventory control while following and enforcing all site SOP guidelines</li><li>Work through the applicable Category Managers to negotiate guarantees of stock and non-stock items</li><li>Learn the essential aspects of the client&rsquo;s contract and ensure understanding and compliance for all associates</li><li>Effectively manage client relationships, advise, and consult on business processes and exceed internal/external customer expectations. Attend meetings and make contacts as necessary with Clients and Vendors to resolve quality and delivery problems.</li><li>Execute and manage all aspects of purchasing cost-effectively and maintain data integrity within RS Integrated Supply enterprise asset management system and/or the customer&rsquo;s CMMS system. Maintain and control all aspects of purchasing through distribution in a cost-effective manner while communicating with the customer&rsquo;s operational facility. Become proficient in both SYNC and the client&rsquo;s systems</li><li>Work with senior management to define and implement strategic and tactical plans and concepts, effectively prioritizing daily tasks and procedures.</li><li>Responsible for recruiting new staff, working with HR and Supervisor, and following recruiting SOPs</li><li>Monitor storeroom inventory levels and build levels in accordance with customer and RS Integrated Supply&rsquo;s needs. Develop and implement Inventory Reduction Programs. Ensure maintenance of proper labeling and storage of all inventoried items.</li><li>Prepare, perform, and oversee all daily, weekly, and monthly reports (e.g., stock replenishment, Buyer activity, Ops reporting, etc.) as required. Evaluate/analyze report results and develop/initiate corrective actions/process improvements as needed.</li><li>Initiate ongoing communication and collaboration with other Site Buyers and Managers within the program or division to capitalize on areas of opportunity and shared resources.</li><li>Follow the Partner or Tier 1 Supplier program as instructed by corporate offices, adhering to established goals. Routinely collaborate with corporate Supply Chain and Partner Suppliers to leverage resources and bring value to the client.</li><li>Periodic KPI reporting and performance review with client (weekly, monthly, quarterly) as required</li><li>Build successful local vendor relationships, evolving the connection to achieve better pricing while researching outside savings and supplier opportunities with external vendors.</li><li>Utilizes approved standard operating procedures to perform and manage all work at the site. Look for ways to improve processes, streamline efforts and increase quality documentation and reporting on all efforts made.</li><li>Create invoices as needed and follow up on past-due AR&rsquo;s.</li><li>Confers with customers to enhance and further implement the program. Evaluate areas for improvement and expanded services. The Procurement Specialist ensures materials are accurately ordered and received within the procurement system. This position is responsible for orders to be processed and expedited in a timely and efficient manner, and employs problem solving methods to resolve issues with delivery, price or any other order issues. It is incumbent upon the Enterprise Buyer to develop and maintain strong relationships with Site personnel, vendors and clients, and keep an open line of communication. The EBG will maintain control of all aspects of purchasing for assigned clients.Essential Functions:<ul><li>Responsible for finding and achieving cost savings through sourcing of new suppliers, manufacturers and distributors. Exceed contractual guaranteed savings requirements by looking for savings opportunities, negotiating best price, utilizing SSI purchasing leverage and contracts, and by finding ways to improve efficiency and profitability for our clients.</li><li>Maintain the vendor database and setup local vendors as needed. Use preferred vendors as often as possible.</li><li>Generate purchase orders (PO&rsquo;s) using SSI or appropriate Client purchasing systems. Verify quoted prices when generating a PO for any item including reorders.</li><li>Expedite orders, manage status of purchasing needs via the creation of Non-Stock and Stock PO using the site&rsquo;s &ldquo;Open Order Report&rdquo; Regularly check Open Order Report and communicate delays or issues to supervisor and site as required. Ensure timely delivery of items, keeping supervisor and site informed of delivery issues.</li><li>Maintain open lines of communication by establishing and building relationships with internal and external customers, including middle and upper management.</li><li>Run reports on a timely basis including the Buyer Activity Report, On Order Report and any other purchasing reports required. Obtain quotes on items not pre-sourced. Source competitive price quotes for items that are not covered under existing agreements.
