We operate a fast-paced, hands-on environment where administrative accuracy directly supports field operations and project success.We are seeking a detail-oriented and organized Accounts Payable (AP) Specialist to support our Accounting and Administrative teams. This role reports directly to the Accounting &amp; Benefits Manager and plays a critical role in ensuring timely and accurate financial processing across vendor accounts, internal expenses, and service-related transactions.The ideal candidate thrives in a dynamic office environment, is highly detail-driven, and can balance multiple responsibilities while maintaining accuracy and accountability.Key ResponsibilitiesAccounts Payable &amp; Financial Processing<ul><li>Accurately prepare, review, and process vendor invoices in a timely manner</li><li>Maintain and track invoice due dates, including capturing early payment discounts</li><li>Process weekly check runs and ACH payments, along with additional runs as needed</li><li>Reconcile vendor statements and resolve discrepancies proactively</li><li>Set up and maintain new vendor accounts and records</li><li>Conduct annual vendor audits and maintain compliance documentation</li></ul>Credit Card &amp; Expense Management<ul><li>Validate charges on company credit accounts and vendor billing statements</li><li>Reconcile company credit card statements against receipts and expense reports</li><li>Enter and process employee expense reports with accuracy and timeliness</li></ul>Audit, Reconciliation &amp; Reporting<ul><li>Perform weekly audits of Service Order transactions, including:</li><li>Expense approvals and reconciliations</li><li>Aging transaction review</li><li>Audit and validate Accounts Payable-related General Ledger accounts</li><li>Identify discrepancies, report findings, and recommend corrective actions</li><li>Review open Purchase Orders (filled but not completed) and coordinate follow-up</li></ul>Operational &amp; Administrative Support<ul><li>Provide phone and administrative support as needed</li><li>Assist with AP-related logistics including:</li><li>Vendor RMAs (returns)</li><li>Customer returns and credit memos</li><li>Process voided payments and monitor bank auto-deductions</li><li>Track recurring monthly and annual expenses</li></ul>Systems &amp; Cross-Functional Support<ul><li>Support ERP-related processes (INFOR preferred)</li><li>Assist with internal system coordination (Supporting HUB locations)</li><li>Collaborate with Service, Purchasing, and Operations teams to ensure accurate job costing and financial tracking</li></ul>Skills, Knowledge &amp; Qualifications<ul><li>Minimum 1 year of Accounts Payable experience (required)</li><li>Minimum 1 year of Relevant work in an Accounting Role in the past 2 years (required)</li><li>Experience with ERP systems (Infor Cloud preferred, others acceptable)</li><li>Strong working knowledge of Microsoft Excel and Office Suite</li><li>High level of attention to detail and organizational skills</li><li>Ability to multitask and manage competing priorities in a fast-paced environment</li><li>Strong communication skills (written and verbal)</li><li>Understanding of GAAP principles (preferred)</li><li>Experience with collections (helpful but not required)</li></ul>Work Environment &amp; Expectations<ul><li>Office-based position</li><li>Frequent interaction with technicians, vendors, and internal teams</li><li>Ability to manage deadlines tied to financial cycles and operational schedules</li><li>Professional, team-oriented mindset with a willingness to support multiple departments</li></ul>Why Join S3 Maritime?<ul><li>Work in a unique and dynamic marine industry environment</li><li>Be part of a highly skilled and collaborative team</li><li>Exposure to complex service projects and real-world operational accounting</li><li>Opportunity for growth within a rapidly evolving marine services company</li></ul>Pay: From $28.00 per hourBenefits:<ul><li>401(k)</li><li>401(k) matching</li><li>Dental insurance</li><li>Health insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>People with a criminal record are encouraged to applyWork Location: In person
