Under general supervision, the Office Assistant II performs detailed clerical and operational support for a department or office. Under direction, the Office Assistant II initiates, implements and coordinates office procedures and timelines in order to provide support for an office or department. Public contact is extensive, and involves College and District staff, faculty, students, vendors, other educational institutions, business and community representatives, regulatory agencies, and governmental agencies for the purpose of exchanging policy and procedural information. A moderate degree of independent judgment and creativity is required to resolve many minor and occasional major problems that arise, by selecting from among alternative procedures that are available. Consequences of errors in judgment could be costly in public relations, staff and employee time. The Office Assistant II classification can train and lead the work of volunteers and student assistants as assigned. 
 
Duties and Responsibilities

Exchanges information with college staff and others regarding department services, as well as to provide operating policies, and procedures</li><li>
Screens calls, visitors and electronic inquiries to provide policy and procedural information and/or to take messages and make appropriate referrals</li><li>
Sets up and tracks budget expenditures and files</li><li>
Attends meetings and other events to obtain and provide current information</li><li>
Uses a database and a variety of computer software to set up, track and maintain a wide variety of data and 
electronic and manual files and to perform data entry and retrieval</li><li>
Composes and prepares correspondence, memoranda, report narratives, forms, publicity materials and other materials from copy or with general instruction</li><li>
Uses standard software applications to prepare correspondence and reports, agendas and meeting minutes, and spreadsheets</li><li>
Compiles items and materials for meeting agendas</li><li>
Schedules and proctors student placement and other tests and scores tests using well-prescribed methods and follow-up</li><li>
Takes and transcribes meeting notes as assigned</li><li>
Sorts and distributes department mail as needed and coordinates bulk mailings</li><li>
Performs other related duties as assigned</li></ul>

The Learning Center Manager performs professional supervisory work involved with the overall operations of the Learning Center. The responsibilities include providing instructional assistance for all courses and overseeing all areas of the Center including the tutorial labs, computer labs, information counter, and all Learning Center programs. Special emphasis is given to networking and collaborating with faculty for development of Center initiatives that assist students in ESL, transfer courses, and certificate programs. This position provides appropriate delivery of orientations, tours, workshops, tutoring, conversation circles, group study, specialized internet tutorial links, assessment and evaluation. The position is also responsible for overseeing functions pertaining to the maintenance of the budget for instructional support programs throughout the fiscal year. Public contact is extensive and can include students, staff, other educational institutions, community and business representatives, governmental agencies and the general public, for the purpose of exchanging program information and services. A high degree of independent judgment and creativity is required to adequately represent the college and program, to serve as a technical resource person for the program, and to design original program components and services. The Learning Center Manager supervises the work of Learning Center staff, student assistants, proctors, and other staff as assigned.

Exchanges information with department, College and District staff regarding the Learning Center and collaborates with other departments such as Counseling Services, Financial Aid, Outreach, and Articulation on a variety of academic support services</li><li>
Confers with management and other staff to develop, implement and evaluate operational policies, procedures, delivery models for customer services, staffing levels, workflow and learning resources programs and activities</li><li>
Oversees the daily activities of the Tutorial Center</li><li>
Collaborates with faculty to plan and assess students' pedagogical tutorial needs</li><li>
Collaborates with staff to plan and evaluate short and long-range Center evening program goals, and acts as liaison between programs, faculty and staff</li><li>
Supports the development and delivery of workshops in the Learning Center or classroom on a variety of study strategies for students</li><li>
Researches the needs of students and plans appropriate services to ensure their success</li><li>
Evaluates the effectiveness of Learning Center services</li><li>
Trains, supervises, and evaluates classified staff, temporary staff, and student assistants as assigned</li><li>
Supports orientation sessions and tours for classes and the public to present Learning Center services</li><li>
Represents the Center at various internal and external functions</li><li>
Works with divisions, departments, and other student service programs to provide academic support and to coordinate services</li><li>
