We are seeking a dedicated and organized Administrative Assistant to support our growing operations, manage information flow, and enhance the efficiency of our essential administrative and student support services.Organization: ScholarshipHive EdutancyLocation: Onsite/RemoteEmployment Type: Full-time, PermanentApplication Deadline: Until FilledPosition OverviewThe Administrative Assistant will be responsible for a full range of administrative and clerical duties necessary to support the executive staff, ensure the efficient operation of the office, and facilitate communication between staff, students, and external partners. The ideal candidate must be highly proficient in office software, capable of preparing detailed reports, and skilled in managing complex schedules and information systems.Key Responsibilities:Administrative &amp; Document Management<ul><li>Prepare and review correspondence, reports, manuals, presentations, and other documents on behalf of management and staff. This includes drafting, formatting, and editing documents for grammar, clarity, and adherence to company standards.</li><li>Establish and maintain effective manual and computerized information filing and retrieval systems. Classify and code documents to ensure quick and accurate retrieval of student records and organizational data.</li><li>Coordinate the flow of information internally within the organization and externally with clients, scholarship boards, and educational institutions.</li><li>Manage incoming and outgoing communications, including prioritizing, disseminating, and responding to emails and mail.</li></ul>Office &amp; Event Coordination<ul><li>Schedule and confirm appointments, meetings, and conferences for managers and senior staff, including booking boardrooms and preparing necessary materials (agendas, handouts).</li><li>Set up and maintain organizational information databases (e.g., student application trackers, client contact lists, service logs) and update content as required.</li><li>Coordinate logistical arrangements for internal events, workshops, and student information sessions, including room bookings, catering, and materials preparation.</li><li>Supervise the acquisition and maintenance of office supplies and manage relationships with external service providers (e.g., couriers, IT support).</li></ul>Financial &amp; Data Support<ul><li>Perform basic financial administrative tasks such as tracking office expenses, preparing and verifying invoices for approval, and reconciling petty cash.</li><li>Compile data and prepare routine administrative and operational reports, summaries, and logs using spreadsheets and database software.</li></ul>Client and Executive Support<ul><li>Act as the primary point of contact for internal and external inquiries, directing calls and visitors to the appropriate person or department.</li><li>Provide professional and timely administrative support to senior staff and management.</li><li>Follow up with students and clients regarding necessary documentation and appointment confirmations, maintaining high standards of professionalism.</li></ul>Qualifications<ul><li>Completion of secondary school is required.</li><li>A minimum of 1&ndash;2 years of verifiable full-time experience performing administrative or executive clerical duties is strongly preferred.</li><li>Demonstrated high proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).</li><li>Exceptional written communication skills, with proven ability to edit and format complex professional documents.</li><li>Superior organizational, time management, and detailed record-keeping skills.</li><li>Ability to work independently, manage multiple priorities, and maintain confidentiality.</li><li>Professional, friendly, and highly service-oriented demeanor.</li></ul>Why Join ScholarshipHive Edutancy?<ul><li>Positive, collaborative, and supportive work culture.</li><li>Meaningful opportunity to contribute to student success and global education.</li><li>Room for professional development and career advancement.</li><li>Competitive compensation package.</li></ul>How to ApplyPlease submit your resume outlining your relevant administrative experience to: contact@scholarshiphive.comUse the subject line: &ldquo;Administrative Assistant Application &ndash; Your Name&quot;Job Type: Full-timePay: Rs45,000.00 - Rs80,000.00 per monthWork Location: Hybrid remote in Lahore
