Front Desk Roles and Responsibilities in an Immigration Company1. Client Reception and Customer Service<ul><li>Greet clients and visitors warmly and professionally.</li><li>Handle walk-in inquiries and provide general information about immigration services, visa categories, and company processes.</li><li>Direct clients to the appropriate consultant or department.</li><li>Ensure a welcoming and organized reception area.</li></ul>2. Communication and Coordination<ul><li>Answer incoming calls, emails, and online inquiries; record messages accurately.</li><li>Respond promptly to client queries or route them to the right personnel.</li><li>Coordinate appointments and schedule meetings between clients and immigration consultants.</li><li>Maintain effective communication between clients, consultants, and management.</li></ul>3. Documentation and Record Management<ul><li>Collect and verify client documents as per the checklist provided by immigration consultants.</li><li>Maintain proper filing systems for client applications, forms, and other records.</li><li>Ensure confidentiality and compliance with data protection policies.</li><li>Update client information in CRM or database systems.</li></ul>4. Administrative Support<ul><li>Manage daily office operations such as stationery, courier, and visitor logs.</li><li>Assist consultants with photocopying, scanning, and printing of client documents.</li><li>Monitor office supplies and coordinate procurement when necessary.</li><li>Support management with administrative tasks and basic reporting.</li></ul>5. Appointment and Calendar Management<ul><li>Schedule client consultations and follow up on confirmed or missed appointments.</li><li>Send reminders or confirmations via phone, email, or WhatsApp.</li><li>Maintain the appointment calendar to avoid overlaps or missed meetings.</li></ul>6. Payment and Billing Assistance<ul><li>Support the accounts team by collecting payments and issuing receipts (if authorized).</li><li>Keep a record of client transactions and forward details to the finance department.</li><li>Inform clients about payment policies or installment plans when applicable.</li></ul>7. Customer Relationship Management<ul><li>Follow up with clients for feedback after consultations or visa submissions.</li><li>Maintain a polite and professional attitude in all interactions.</li><li>Help build a positive reputation for the company through excellent client service.</li></ul>8.
