We&rsquo;re seeking an Administrative Assistant who is organized, tech-savvy, and excited to support both our clinical team and families.Role OverviewThe Administrative Assistant will play a key role in keeping our clinic running smoothly. This position requires a blend of in-office support (+/3-4 hours/day) and flexible work-from-home hours. The ideal candidate will be detail-oriented, an excellent communicator, and comfortable using digital tools to support both administrative and creative tasks.Responsibilities<ul><li>Manage day-to-day administrative operations of the clinic.</li><li>Cleaning, organizing, maintaining the public areas.</li><li>Provide customer support by addressing client needs and resolving issues promptly.</li><li>Collaborate with team members to ensure smooth office operations.</li><li>Learn and manage our Electronic Medical Records (EMR) system for scheduling, billing, and documentation support.</li><li>Organize and maintain digital files using Google Suite (Docs, Sheets, Drive, Calendar, Gmail, etc.).</li><li>Create and update clinic communications, forms, and resources.</li><li>Support marketing and outreach by creating graphics in Canva and managing social media content.</li><li>Greet and support families during office hours, ensuring a welcoming environment.</li><li>Assist with special projects and events as needed.</li></ul>Qualifications<ul><li>Previous administrative experience (healthcare or therapy setting preferred, but not required).</li><li>Strong organizational and time management skills.</li><li>Proficiency with Google Suite.</li><li>Familiarity with Canva and social media platforms.</li><li>Comfortable learning new technology, including EMR systems.</li><li>Friendly, professional, and able to communicate clearly with families and staff.</li><li>Flexible, reliable, and able to work independently.</li><li>Strong typing skills with attention to detail for data entry tasks.</li><li>Demonstrated phone etiquette and customer service skills.</li><li>Strong computer skills, including familiarity with Google Workspace.</li><li>Previous office experience or clerical experience is preferred.</li><li>Excellent organizational skills and time management abilities.</li><li>Strong typing skills with attention to detail for data entry tasks.</li><li>Demonstrated phone etiquette and customer service skills.</li><li>Experience as a dental receptionist or medical receptionist is advantageous.</li><li>Personal assistant experience will be considered an asset.
