Join us in a fast-paced environment where your organizational expertise will make a meaningful impact every day!Duties<ul><li>Manage complex calendars, schedule appointments, meetings, and events using Microsoft Outlook Calendar and Google Workspace tools.</li><li>Coordinate and organize company events, meetings, and conferences from planning stages through execution.</li><li>Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail.</li><li>Handle incoming calls with professional phone etiquette, directing inquiries appropriately via multi-line phone systems.</li><li>Maintain meticulous filing systems&mdash;both physical and digital&mdash;and ensure easy retrieval of important documents.</li><li>Support bookkeeping activities using QuickBooks for invoicing, expense tracking, and financial record-keeping.</li><li>Assist with project coordination by tracking deadlines, preparing agendas, taking minutes, and following up on action items.</li><li>Provide personal assistant support including travel arrangements, gift purchasing, and managing confidential information discreetly.</li><li>Perform data entry tasks with high accuracy to update databases and CRM systems efficiently.</li><li>Manage office supplies inventory, coordinate vendor relationships, and oversee general office management duties to maintain a productive work environment.</li></ul>Skills<ul><li>Proven experience as an executive assistant or in a similar administrative role with strong office management skills.</li><li>Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools.</li><li>Excellent typing speed combined with transcription abilities for accurate documentation.</li><li>Strong project coordination skills to manage multiple initiatives simultaneously.</li><li>Knowledge of bookkeeping software such as QuickBooks for financial recordkeeping and invoicing.</li><li>Outstanding communication skills&mdash;both verbal and written&mdash;with professional phone etiquette.</li><li>Attention to detail for proofreading documents and ensuring accuracy in all work outputs.</li><li>Familiarity with office equipment including multi-line phone systems, fax machines, scanners, and printers.</li><li>Ability to handle confidential information with discretion while maintaining professionalism at all times.
