 Role Purpose
 
Supports internal and external customers to ensure electronic devices are managed effectively throughout the operational process on behalf of client sites managing clinical trials.
 
What You’ll Do: 
1. Manage Sales Orders to ensure accurate creation and clarity of information for teams within the configuration center
 2. Attend project kick off meetings and client calls, as required
 3. Point of contact for Client Services queries or questions
 4. Responsible for generating internal export documentation
 5. Responsible for ordering printed materials on behalf of clients, as directed by Client Services
 6. Liaise with Client Services and external service providers to manage and communicate any shipment delays
 7. Promote continual improvement within the Customer Operations area
 8. Other responsibilities as required
 
DECISION MAKING AND INFLUENCE
 
<ul>
<li>The individual is responsible for managing client expectations on device shipments and inventory</li>
<li>They will have influence on the financial accountancy of the business by ensuring good practices are followed</li>
<li>They will be able to influence good practice and ensure customer expectations are met, if not exceeded</li>
<li>They will have limited direct Client contact, however; will be expected to be a source of information and expertise to provide best practice guidance</li>

Role Purpose
 Provide strategic operational leadership to the logistics project service team while delivering comprehensive oversight of all outsourced vendors managing global supply chain operations. This role serves as the central command center for end-to-end supply chain execution, including import/export activities, cross-border logistics, customs compliance, and forecasting/planning processes. The Associate Director will drive performance excellence across internal teams and external vendor networks while ensuring seamless coordination with Global Project Management and other stakeholders to optimize supply chain performance and service delivery throughout project lifecycles.
 Key Accountabilities
 1. Operational Leadership & Team Management
 <ul>
<li>Team Leadership: Provide strategic direction, performance management, and professional development to the logistics project service team members</li>
<li>Resource Management: Optimize team resource allocation, manage workload distribution, and ensure adequate staffing levels across logistics project service team to meet project demands</li>
<li>Process Excellence: Lead continuous improvement initiatives to streamline logistics processes, enhance service delivery efficiency, and implement best practices across operations</li>
<li>Cross-Functional Coordination: Facilitate seamless collaboration between logistics team and other business functions to ensure on-time, quality project delivery</li>
<li>Knowledge Development: Ensure comprehensive team training on current procedures, international regulations, compliance requirements, and industry best practices</li>
<li>Issue Resolution: Take full accountability for escalations and investigations from internal and external stakeholders, ensuring timely and effective resolution</li>
<li>Subject Matter Expertise: Serve as primary expert for Global Project Management and external clients, providing training, guidance, and best practice recommendations</li>
</ul>
2. Comprehensive Vendor Oversight & Management
 <ul>
<li>Vendor Performance Management: Oversee all third-party logistics providers and outsourced supply chain operations vendors to ensure seamless end-to-end supply chain execution</li>
<li>KPI Development & Monitoring: Establish, track, and optimize Key Performance Indicators for service quality, delivery performance, cost efficiency, compliance adherence, and customer satisfaction across all vendor relationships</li>
<li>Contract Management: Negotiate, implement, and actively manage service level agreements (SLAs) with all outsourced partners, ensuring alignment with business objectives</li>
<li>Operational Excellence: Conduct regular vendor performance reviews, and capability evaluations to drive process optimization and maintain service standards</li>
<li>Risk Mitigation: Develop comprehensive risk management strategies and contingency plans to ensure business continuity across the entire vendor network</li>
<li>Vendor Development: Work proactively with vendors to identify improvement opportunities and implement performance enhancement initiatives</li>
</ul>
3. Import & Export Operations & Compliance Management
 <ul>
<li>Regulatory Compliance: Ensure all international shipments comply with customs regulations, import and export requirements, and documentation requirements for both origin and destination countries</li>
<li>Documentation Management: Oversee preparation, accuracy, and timely submission of all import and export documentation including commercial invoices, packing lists, and other documents as needed.</li>
<li>Cross-Border Coordination: Manage complex cross-border logistics for electronic devices and ancillary items, ensuring smooth customs clearance and delivery</li>
<li>Compliance Monitoring: Maintain current knowledge of changing international trade regulations and implement necessary process adjustments to ensure ongoing uninterrupted project delivery</li>
</ul>
4. Forecasting & Planning Leadership
 <ul>
<li>Demand Planning: Lead the development and execution of comprehensive demand forecasting processes in collaboration with various stakeholders</li>
<li>Supply Chain Planning: Drive strategic planning initiatives to optimize inventory levels, reduce lead times, and improve supply chain efficiency</li>
<li>Scenario Planning: Develop and maintain contingency plans for various demand scenarios, supply disruptions, and market changes</li>
<li>Cross-Functional Planning Coordination: Work closely with various stakeholders and finance teams to align supply chain plans with business objectives and project timelines</li>
<li>Planning Process Optimization: Continuously improve forecasting accuracy and planning processes through data analysis, technology implementation, and best practice adoption</li>
</ul>
5. Performance Management & Strategic Planning
 <ul>
<li>Performance Optimization: Monitor customer service metrics, operational KPIs, and implement continuous improvement initiatives across all supply chain operations</li>
<li>Budget Management: Support budget planning, cost management, and profitability optimization within supply chain operations while maintaining service excellence</li>
<li>Standards Development: Establish and maintain performance standards for both internal teams and external vendor operations, ensuring consistent service delivery</li>
<li>Problem Resolution: Investigate and resolve complex technical, operational, and logistical challenges across the global supply chain network</li>
<li>Strategic Planning: Contribute to long-term supply chain strategy development, including technology adoption, process improvements, and market expansion initiatives</li>
