This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant and collaborative workplace.Duties<ul><li>Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.</li><li>Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.</li><li>Assist with event planning for meetings, conferences, and company functions, ensuring all logistics are handled seamlessly.</li><li>Handle phone etiquette professionally across multi-line phone systems, screening calls and directing inquiries appropriately.</li><li>Perform data entry, filing, and document management using Microsoft Office tools and DocuSign for electronic signatures.</li><li>Provide executive administrative support by preparing reports, proofreading documents, transcribing notes, and managing correspondence.</li><li>Oversee office management tasks such as supply ordering, maintaining filing systems, front desk duties, and supporting overall office organization.</li><li>Conduct bookkeeping activities using QuickBooks and handle basic bookkeeping tasks like invoicing and expense tracking.</li><li>Support project coordination efforts by tracking deadlines, preparing agendas, taking minutes, and following up on action items.</li><li>Maintain excellent customer service standards by assisting visitors at the front desk and managing communication channels effectively.</li></ul>Qualifications<ul><li>Proven experience as a Personal Assistant or in an administrative support role with office management responsibilities.</li><li>Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment.</li><li>Excellent typing speed combined with proficiency in Microsoft Office Suite (Word, Excel PowerPoint) and Google Workspace applications.</li><li>Familiarity with QuickBooks for bookkeeping tasks and DocuSign for digital document signing processes.</li><li>Exceptional phone etiquette skills across multi-line systems along with professional communication abilities.</li><li>Experience in event planning, project coordination, data entry, filing systems, and transcription is highly desirable.</li><li>Demonstrated ability to handle confidential information discreetly with high attention to detail.</li><li>Knowledge of office equipment operation including printers, scanners, fax machines, and multi-line phones.</li><li>Strong computer literacy skills coupled with excellent proofreading skills to ensure accuracy in all documents.
