As the Executive Assistant to the Founder &amp; CEO, you will be the central link ensuring focus, clarity, and execution across multiple ventures, including SmartStay (hospitality and property management), BNB IN DUBAI (education, community and social media presence), and related real-estate-focused software ventures.
This role requires a strategic, exceptionally organised professional who can simplify complexity and enable fast, informed decisions. You&rsquo;ll work directly with the Founder to filter and structure information from internal teams and external partners, including investors, landlords, and key clients. You&rsquo;ll coordinate communication, track priorities, drive progress, and ensure that every decision is made with complete context.

Key Responsibilities
Executive &amp; Organisational Support<ul>
<li>
Act as the coordination bridge between the Founder, leadership teams, and external stakeholders.</li>
<li>Track priorities, deadlines, and deliverables across multiple ventures, ensuring progress and accountability.</li>
<li>Proactively gather the right context for all decisions to be made, asking the questions that anticipate what the Founder needs to know.</li>
<li>Filter and prioritise information from all channels&mdash;Slack, WhatsApp, email, shared dashboards&mdash;so the Founder sees what truly matters.</li>
<li>Build concise overviews and summaries that translate complex inputs into clear actions and decisions.</li>
<li>Drive progress, not just track it. Follow up, problem-solve, and close the loop where needed.</li>
<li>Coordinate directly with department heads and partners to keep initiatives on track.</li>
<li>Prepare and proofread communications, presentations, and updates in fluent, professional English.</li>
<li>Tech-savvy and confident with software and AI tools (Google Workspace, Slack, Monday.com, Notion, ChatGPT, Otter): able to leverage them intelligently rather than relying on copy-paste output.</li>
</ul>
Social Media &amp; Brand Alignment<ul>
<li>
Understand the Founder&rsquo;s social-media presence, tone, and public image.</li>
<li>Coordinate with the marketing and content team to ensure consistency between business communications and the Founder&rsquo;s personal brand.</li>
<li>Support in scheduling, coordinating, and occasionally organising podcast recordings or similar content initiatives.</li>
<li>Bring structure to creative processes by helping plan and align content ideas with current business priorities.</li>
<li>Be comfortable working within a content-driven environment and communicating effectively with creative and production teams.</li>
</ul>
Furthermore, you will uphold absolute confidentiality and professionalism in handling all business and personal matters, and you will occasionally assist with travel or personal coordination to keep the Founder&rsquo;s time, focus, and attention on the highest-impact priorities. 
Skills &amp; Qualification<ul>
<li>
3+ years of experience as an Executive Assistant or similar role within a founder-led or fast-growing organisation.</li>
<li>Proven ability to bring order, structure, and clarity to fast-moving operations.</li>
<li>Outstanding written and spoken English; able to communicate concisely.</li>
<li>Advanced organisational and multitasking skills; thrives on detail and follow-through.</li>
<li>Confident using productivity and collaboration tools such as Google Workspace, Slack, Monday.com, Notion, and AI-powered assistants.</li>
<li>Analytical yet people-oriented&mdash;able to interpret numbers, systems, and personalities with equal fluency.</li>
<li>Self-driven, proactive, and comfortable interacting with senior leaders and external stakeholders.</li>
<li>Understanding of Dubai&rsquo;s business culture or previous UAE experience is an advantage.</li>

As the team continues to grow, we are looking for an Operations Manager to oversee daily operations and ensure our high standards are consistently met.
The Role: Operations Manager
The Operations Manager ensures seamless day-to-day performance across all SmartStay departments &mdash; Guest Relations, Housekeeping, Engineering, Warehouse, and Logistics &mdash; maintaining the highest standards of service and compliance in line with SmartStay&rsquo;s brand promise and UAE holiday home regulations. This role drives operational efficiency, guest satisfaction, and team accountability through structured systems, proactive leadership, and process excellence.
Key Responsibilities:<ul>
<li>
Lead and oversee daily operations across all SmartStay operational departments to ensure consistent service delivery, property readiness, and adherence to brand standards.</li>
<li>Directly manage the Guest Relations Department and supervise department heads for Housekeeping, Engineering, and Storekeeping.</li>
<li>Foster accountability, cross-departmental communication, and a strong &ldquo;One Team&rdquo; culture.</li>
<li>Collaborate with all departments to resolve operational issues efficiently, ensuring minimal guest disruption.</li>
<li>Manage guest escalations and complaints with empathy, professionalism, and a service recovery mindset.</li>
<li>Control glitch management to ensure all issues are resolved promptly and in line with company standards.</li>
<li>Ensure every SmartStay property meets 5-star holiday home standards prior to guest check-in.</li>
<li>Conduct regular and random property inspections to verify compliance with SmartStay readiness and quality benchmarks.</li>
<li>Maintain, review, and update Standard Operating Procedures (SOPs) to ensure consistency, quality, and compliance across all operational areas.</li>
<li>Ensure compliance with UAE regulations, including DTCM and Sakani guest registration processes.</li>
<li>Coordinate updates to operational checklists, inspection templates, and Trainual materials.</li>
<li>Drive operational initiatives such as process improvements, vendor assessments, and adoption of technology platforms (Breezeway, Monday.com, etc.).</li>
<li>Monitor KPIs, guest reviews, and operational reports to identify trends, address inefficiencies, and recommend improvements.</li>
<li>Identify operational bottlenecks and propose structured, data-driven solutions.</li>
<li>Review and approve operational quotations and vendor payments in coordination with the Finance Manager.</li>
<li>Track monthly operational budgets, monitor expenses, and ensure adherence to cost-control measures.
</li><li>Contribute to strategic planning, resource forecasting, and continuous improvement initiatives to strengthen overall operational performance.</li>
</ul>
Skills &amp; Qualifications<ul>
<li>
Minimum of 3 years of managerial experience in Guest Relations, Front Office, or Operations within a luxury holiday home or 5-star hotel in UAE</li>
<li>Strong leadership skills with proven ability to train, mentor, and manage teams effectively.</li>
<li>Excellent communication and interpersonal skills, with a guest-first mindset and ability to manage escalations calmly.</li>
<li>Solid operational background with knowledge of housekeeping, maintenance, and property readiness processes.</li>
<li>Proficiency in property and task management platforms such as HostAway, Breezeway, and Monday.com is a plus</li>
<li>Familiarity with Sakani and DTCM guest registration portals is a plus</li>
<li>A valid UAE driving license is required.</li>
<li>Ability to multitask, prioritize, and deliver under pressure while maintaining attention to detail.</li>
<li>Hands-on, proactive approach with strong problem-solving and decision-making capabilities.</li>
