Overview We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! This vital role combines administrative excellence with financial oversight, ensuring the smooth operation of our office environment while managing essential bookkeeping functions. The ideal candidate will be proactive, detail-oriented, and possess a passion for creating efficient workflows that support our team&rsquo;s success. In this role, you will be the backbone of our daily operations, fostering a positive work atmosphere and maintaining accurate financial records to help drive our organization forward.Responsibilities<ul><li>Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling to ensure seamless communication and organization.</li><li>Manage vendor relationships, negotiate contracts, and coordinate services to support office needs and special events.</li><li>Handle bookkeeping duties using QuickBooks or similar accounting software, including invoicing, expense tracking, bank reconciliations, and financial reporting.</li><li>Supervise administrative staff and provide training &amp; development opportunities to promote team growth and efficiency.</li><li>Coordinate event planning activities such as meetings, workshops, and community outreach events to foster engagement and professional development.</li><li>Manage human resources functions including onboarding new employees, maintaining personnel files, processing payroll, and supporting HR compliance initiatives.</li><li>Maintain accurate filing systems, handle clerical tasks such as data entry and document management, and ensure all administrative processes are compliant with organizational standards.</li></ul>Skills<ul><li>Proven experience in office management combined with strong bookkeeping skills using QuickBooks or similar software.</li><li>Demonstrated supervising experience with the ability to lead and motivate a team effectively.</li><li>Excellent communication skills with a professional phone etiquette and the ability to handle multiple priorities efficiently.</li><li>Strong organizational skills with attention to detail in scheduling, filing, and record keeping.</li><li>Experience in event planning, vendor management, budgeting, and human resources functions such as payroll processing.</li><li>Knowledge of medical office management or healthcare administration is a plus but not required.</li><li>Ability to manage front desk operations including multi-line phone systems and calendar management while providing exceptional customer service.
