Litigation Legal Administration Assistant provides high-level administrative support to attorneys specializing in litigation. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate will have experience in a legal environment and possess a strong understanding of litigation procedures and documentation.

The hours are Monday through Friday from 8:30 a.m. to 5:00 p.m. in the office.

Responsibilities will include, but are not limited to the following:
<ul>
<li>Administrative Support:</li>
<li><ul><li>Manage and maintain attorneys&rsquo; schedules, including arranging meetings, appointments, and travel.</li>
<li>Prepare and edit correspondence, reports, and presentations.</li>
<li>Assist attorneys with case preparation, including organizing and maintaining case files, evidence, and exhibits.</li>
<li>Manage calendars and schedule meetings, depositions, and court appearances.</li>
<li>Coordinate with clients, witnesses, and experts to arrange interviews, depositions, and other case-related activities.</li>
</ul></li><li>Document Preparation:</li>
<li><ul><li>Draft, proofread, and finalize legal documents such as pleadings, motions, discovery requests, and trial briefs.</li>
<li>Prepare and file legal documents with courts and administrative agencies, ensuring compliance with procedural rules.</li>
<li>Maintain and update case files, ensuring all documentation is accurately filed and easily accessible.</li>
</ul></li><li>Communication:</li>
<li><ul><li>Serve as a liaison between clients, attorneys, and other parties involved in litigation.</li>
<li>Handle incoming and outgoing correspondence, including phone calls, emails, and faxes.</li>
<li>Prepare and distribute correspondence, memoranda, and reports.</li>
</ul></li><li>Court and Filing Procedures:</li>
<li><ul><li>Prepare and ensure timely filing of legal documents with the court.</li>
<li>Monitor and track deadlines to ensure compliance with court rules and procedures.</li>
</ul></li>
</ul>Experience and Qualifications:
<ul>
<li>At least 5 years of experience as a legal administrative assistant, or in a similar administrative role within a litigation environment.</li>
<li>Comprehensive knowledge of Arizona court procedures, including state, federal, and appellate levels, with a strong emphasis on e-filing procedures.</li>
<li>Proficiency in legal terminology, procedures, and documentation</li>
<li>Exceptional proofreading and editing skills, with a keen eye for detail in all written communications.</li>
<li>Proficiency in Microsoft Office applications (Excel, Word, OneNote, and Outlook) and experience with document management systems.</li>
<li>Demonstrated ability to work independently and within a team, showing reliability and the capacity to juggle multiple tasks effectively.</li>
<li>Excellent interpersonal skills to develop and maintain effective working relationships with all levels of staff and clients.</li>
<li>Strong organizational and time-management skills with the ability to prioritize tasks effectively.</li>
<li>High level of discretion and confidentiality.</li>

This position supports our Legal Administrative Assistants (LAAs) and works closely with, Attorneys and Paralegals. Your work will directly impact our firm's ability to provide top-tier legal services.

<li>Responds to numerous phone calls and emails in a professional manner</li>
<li>Develops and maintains smooth working relationships with staff, attorneys, and clients</li>
<li>Assists with opening and closing of new files</li>

Experience and Qualifications:
<ul>
<li>Previous experience in a legal support role is a plus</li>
<li>Excellent proofing and editing</li>
<li>Proficiency in Microsoft Office Suite and familiarity with legal software</li>
<li>Excellent time management skills with a proven ability to manage multiple tasks and prioritize effectively</li>
