<div>Position Summary: 
 The Night Invoicing Supervisor oversees critical overnight invoicing operations that directly impact order accuracy, shipment readiness, and customer satisfaction. This role requires strong judgment, attention to detail, and the ability to prioritize competing priorities in a fast-paced distribution environment. The supervisor is responsible for ensuring all customer orders are accurately finalized, invoiced, and documented within tight nightly deadlines while leading a small team and maintaining cross-functional coordination with warehouse, transportation, customer service, and sales teams. Success in this role depends on proactive problem-solving, effective communication, and the ability to quickly resolve discrepancies to support uninterrupted shipping operations and high service levels.
Key Responsibilities:
Team Leadership &amp; Development<ul><li>
Supervise and support a team of 3 invoicing employees during the night shift</li><li>
Train, coach, and assist team members to maintain efficiency and accuracy</li><li>
Monitor team workload, prioritize tasks, and maintain department productivity</li><li>
Ensure compliance with company policies, procedures, and quality standards</li><li>
Approve overtime within established thresholds and report usage to ownership with justification</li><li>
Participate in hiring decisions for night invoicing team members, including interviewing and recommending candidates</li><li>
Conduct performance evaluations and deliver regular feedback to direct reports</li><li>
Administer corrective action in coordination with HR and senior management</li></ul>
Invoicing &amp; Order Accuracy<ul><li>
Oversee finalization of customer orders and generation of invoices, stepping in to process directly during peak volume or escalations</li><li>
Ensure accurate creation of packing lists and invoices for carriers and audit team output for quality</li><li>
Ensure customers receive invoices and loading sheets in a timely manner</li><li>
Escalate product shortages to the sales team and track resolution of unfulfilled orders</li></ul>
Cross-Functional Coordination &amp; Reporting<ul><li>
Coordinate closely with the Night Shipping Supervisor and Freezer Supervisor to ensure smooth workflow and order completion</li></ul>

Maintain clear and professional communication with other supervisors and departments</li><li>
Identify and report any operational issues or delays encountered during the shift</li><li>
Own night invoicing KPIs including invoicing accuracy, on-time order completion, and shift productivity; report results to senior management</li><li>
Drive process improvement initiatives to reduce errors, shorten cycle times, and improve cross-functional handoffs</li></ul>
Qualifications:
Required Qualifications<ul><li>
High school diploma or equivalent required; associate's or bachelor's degree in business, operations, or a related field preferred</li><li>
2-3 years of previous supervisory experience, including direct people management responsibilities (hiring input, performance feedback, corrective action)</li><li>
Experience with invoicing, billing systems, or order processing</li><li>
Strong attention to detail and accuracy</li><li>
Ability to work independently and make decisions in a fast-paced environment</li><li>
Excellent organizational and time management skills</li><li>
Strong communication and collaboration skills</li><li>
Basic computer proficiency, including ERP systems (Dynamics 365 preferred), email, and spreadsheets</li></ul>
Preferred Qualifications<div><ul><li>
Experience working in a warehouse, distribution, logistics, or food distribution environment</li><li>
Associate's or bachelor's degree in business, operations, or a related field preferred</li></ul></div><ul><li>
Experience with Microsoft Dynamics 365 or similar ERP systems</li><li>
Prior experience supervising night shift operations or overnight teams</li></ul>
