Job Overview We are seeking a dynamic and highly organized Part-Time Executive &amp; Personal Assistant to support a busy professional in a hybrid work environment. This position is perfect for someone eager to contribute to both professional and personal success while enjoying flexible hours.Key ResponsibilitiesIn-Person Responsibilities (1&ndash;2 Days/Week)<ul><li>Organize and maintain structured filing systems (both household and business-related), ensuring records are accurate and easily accessible</li><li>Pick up and drop off packages (FedEx, UPS, etc.) and assist with general errands</li><li>Support personal tasks such as purchasing, event/party preparation, and occasional household management</li><li>Assist with light office operations including physical filing, document organization, and data entry</li><li>Attend and contribute to a weekly planning meeting to align on priorities, schedules, and ongoing projects</li><li>Provide occasional in-person support for special projects or events</li><li>Occasional overnight travel may be required</li></ul>Remote Responsibilities<ul><li>Provide comprehensive executive administrative support, including managing calendars, scheduling appointments, and coordinating meetings using tools such as Google Workspace and Microsoft Outlook</li><li>Coordinate with contractors, vendors, and service providers, handling communication and follow-ups professionally</li><li>Manage communications on behalf of the executive, including email correspondence, document sharing, and platforms such as DocuSign</li><li>Take detailed meeting notes, track action items, and ensure timely follow-through on tasks and deadlines</li><li>Organize and maintain digital files, documents, and systems to ensure efficiency and accessibility</li><li>Assist with project coordination by tracking deadlines, preparing reports or presentations, and supporting overall workflow organization</li><li>Handle basic bookkeeping tasks, data entry, and recordkeeping (QuickBooks experience preferred)</li><li>Conduct proofreading, transcription, and document review to ensure accuracy and professionalism</li><li>Order supplies, materials, and event-related items as needed</li></ul>What We&rsquo;re Looking For<ul><li>Strong organizational skills with exceptional attention to detail</li><li>Ability to take initiative, problem-solve, and manage tasks independently</li><li>Excellent written and verbal communication skills with professional phone etiquette</li><li>High level of discretion and ability to handle confidential information</li><li>Comfortable managing multiple priorities in a fast-paced environment</li><li>Tech-savvy with proficiency in Google Workspace and/or Microsoft Office Suite</li><li>Reliable transportation for in-person responsibilities</li></ul>Preferred Experience<ul><li>Proven experience as an Executive Assistant, Personal Assistant, or Administrative Assistant supporting high-level professionals or entrepreneurs</li><li>Strong background in office management, including filing, data entry, clerical support, and customer service</li><li>Experience coordinating vendors, schedules, logistics, or events</li><li>Familiarity with bookkeeping software such as QuickBooks and basic accounting principles</li><li>Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and multi-line phone systems</li><li>Experience with task/project management tools (Trello, Asana, or similar) is a plus</li><li>Strong typing skills with the ability to assist in transcription and proofreading tasks</li></ul>Why Join UsJoin us in a dynamic and flexible role where your organizational skills and proactive mindset will directly support executive success.
