<div>We are seeking a meticulous File Administrator to manage, organize, and digitize confidential employee records. This role plays a critical part in maintaining accurate and secure HR documentation, ensuring compliance with company policies and legal requirements.
</div><div><b>ESSENTIAL FUNCTIONS</b>:
</div><div>Organize and maintain physical and digital HR files, ensuring proper classification and easy retrieval.
</div><div>Scan, digitize, and upload physical documents into the companys HRIS or document management system.
</div><div>Ensure all employee records are up-to-date, accurate, and stored securely in compliance with data privacy regulations.
</div><div>Track and manage file retention schedules, archiving or disposing of documents as appropriate.
</div><div>Respond to internal HR file requests in a timely and confidential manner.
</div><div>Perform regular audits of employee files to ensure compliance with internal policies and legal standards.
</div><div>Support the HR team with administrative tasks as needed, including onboarding and offboarding documentation.
</div><div>Maintain confidentiality and discretion in handling sensitive employee information.
</div><div><b>REQUIREMENTS &amp; COMPETENCIES:
</b></div><div>Ability to work independently and as part of a team
</div><div>Maintaining and organizing files, records, and documents in digital and physical formats for easy access and retrieval.
</div><div>Manage document scanning and digitization tasks to convert paper files into electronic formats.
</div><div>Manage file boxes and ensure proper labeling and storage.
</div><div>Perform e-filing tasks to keep digital records updated and well-organized.
</div><div>Strong communication skills to coordinate with team members.
</div><div>Ability to handle confidential information with integrity and professionalism.
</div><div><b>EDUCATION / WORK REQUIREMENTS:
</b></div><div>High school diploma or equivalent
</div><div>Prior experience with large volume of file management responsibilities.
</div><div>Proficient computer skills, including Microsoft Office Suite
</div><div>Highly organized multitasker who works well in a fast-paced environment
</div><div>Excellent time management and written and verbal communication skills
</div><div><b>LANGUAGE SKILLS:
</b></div><div>Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or
</div><div>governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively
</div><div>present information and respond to questions from groups of managers, clients, customers, and the general public.
</div><div><b>REASONING ABILITY:
</b></div><div>Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited
</div><div>standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
</div><div>Ability to use discretion and exhibit high level of confidentiality.
