PRACTICE SUPPORTJOB DESCRIPTIONPOSITION SUMMARY:Practice support assists attorneys, paralegals, and LAAs through the performance of complex and substantive legal tasks requiring knowledge of legal terminology and the legal process, responsible for organizing client files and maintaining the physical upkeep of the storage space. Will also be responsible for supporting and assisting the Office Manager and staff as needed with administrative duties as needed.WORKING RELATIONSHIPS:REPORTS TO: Assigned Attorney(s) and Office Manager for administrative matters.SUPERVISES: No supervisory responsibilitiesPRIMARY DUTIES AND RESPONSIBILITIES:1. Provide support to assigned attorney(s), paralegal(s), and LAA(s).1. Format documents into final form, proofread, copy, scan, mail, etc.2. Process incoming and outgoing mail.3. Opening/closing files, consistent with department and firm practice.4. Manage data and prepare presentations as needed.5. Office duties including copying, scanning, faxing, time entry, call edit, filing, transcription, etc.6. Manage and calendar time.7. Fill in or help with receptionist duties during receptionist breaks and time off as needed.8. Research location of files and folders in storage; creates additional folders and labels as needed or requested; creates and updates file index.9. Interacts competently and courteously with department personnel, lawyers, LAAs, and other support staff to exchange information.10. Handle sensitive and/or confidential documents and information.11. Communicate with manager on job or deadline issues.12. Performs other duties as assigned.KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:EDUCATION:1. High School Diploma or Equivalent required. Bachelor&rsquo;s degree preferred.2. WORK EXPERIENCE:One-year administrative office experience is required. Bachelor&rsquo;s degree may substitute for experience.Ability to multitask, paying close attention to detail and coordinating various activities simultaneously under tight schedule; ability to proofread typed material for grammatical, typographical or spelling errors; strong communication skills, both verbal and written; ability to manage others as needed; proficient computer skills (strong working knowledge of Word, Excel, Outlook, PowerPoint) and internet applications; ability to work overtime, as needed, to meet deadlines; ability to work independently and cooperatively in a team environment; ability to maintain confidentiality and act with discretion.PREFERRED:One year of experience working in a law firm with heavy volume is preferred.WORKING CONDITIONS:PHYSICAL EFFORT: Lifting up to 20 pounds; prolonged sitting, some stretching and reaching.WORK ENVIRONMENT: Indoor office environment with extended periods of time working on a PC. On occasion must be able to work more than 40 hours per week.  POSITION SUMMARY:
 
 
 
 
 The Marketing &amp; Communications Coordinator is responsible for assisting with the creation, distribution, coordination, and support of external and internal firm communications as well as supporting other content-driven functions of the Marketing Department. The Marketing and Communications Coordinator will help develop, edit, and distribute content to various target audiences on several platforms (website, intranet, email, social media, etc.).
 
 
 The Marketing &amp; Communications Coordinator supports the execution of communications initiatives, provides content development and editorial support, serves as a resource for graphic design needs, and supports the firm&rsquo;s graphic designer on creative projects.
 
 
 
 
 
 
 
 WORKING RELATIONSHIPS
 
 
 :
 
 
 REPORTS TO: Reports to the Marketing Director and works closely with the Marketing &amp; Communications Specialist, Marketing Graphics &amp; Digital Specialist, and Chief Marketing Officer as a member of the marketing team.
 
 
 SUPERVISES: No supervisory responsibilities.
 
 
 
 
 
 
 
 PRIMARY DUTIES AND RESPONSIBILITIES
 
 
 :
 
 <ul>
 <li>
 Drafts attorney bios, press releases, survey and nomination submissions, announcements, invitations, website content, presentations, ad copy, brochure content, and custom materials for external consumption.
 </li>
 <li>
 Supports the writing, formatting, review, approval, and distribution process for client alerts and other content.
 </li>
 <li>
 Ensures existing collateral materials are kept up to date and develops new materials as needed.
 </li>
 <li>
 Maintains and shares tracking and reporting on communication efforts and media tracking.
 </li>
 <li>
 Monitors firm social media channels for comments and direct messages, and routing items to the Marketing Director for review and timely response, and documenting/escalating any sensitive or high-priority inquiries.
 </li>
 <li>
 Supports presentation development as needed.
 </li>
 <li>
 Supports coordination with media inquiries and assists with external publications and media contacts for the dissemination of firm news, events, announcements, and other appropriate content.
 </li>
 <li>
 Provides event support by developing invitation copy and helping with other content needs for client events.
 </li>
 <li>
 Updates mailing lists and contact records in the email management system.
 </li>
 <li>
 Enforces and coordinates updates to the firm&rsquo;s style guide.
 </li>
 <li>
 Builds and maintains relationships with digital and print outlets to foster appropriate publication and reuse of written marketing content.
 </li>
 <li>
 Assists with graphics requests with direction from the Marketing Graphics &amp; Digital Specialist on an as needed basis.
 </li>
 <li>
 Serves as a member of the internal proofing team, responsible for proofing internal and external messaging prior to publication, through approved proofing protocols and procedures.
 </li>
 <li>
 Identifies areas that can benefit from content review, refresh, and updates, as well as areas where content can be newly created and developed.
 </li>
 <li>
 Adds content to the firm&rsquo;s website as needed.
 </li>
 <li>
 Additional duties as required.

 </ul>
 
 
 
 
 
 
 KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
 
 
 
 
 EDUCATION: Undergraduate degree required (Marketing, Journalism or English degree is preferred).
 
 
 WORK EXPERIENCE: 2-4 years&rsquo; experience in a communications role required. Experience in a law firm or professional services firm and experience in graphic design preferred.

 Excellent writing skills and strong command of the English language and AP writing style to support content development, proofreading, and editing aspects of the position.

 Ability to convey sometimes complex topics in a concise and clear manner using firm style guidelines.
 </li>
 <li>
 Must be familiar with email marketing systems and support efforts to keep the firm&rsquo;s mailing lists clean and well-maintained.
 </li>
 <li>
 Must be highly proficient in Microsoft Office Suite (including Word, PowerPoint, and Excel).
 </li>
 <li>
 Familiarity with using AI tools, including ChatGPT and Microsoft Copilot, for process improvement and efficiencies on appropriate projects.
 </li>
 <li>
 Working knowledge of Adobe Creative Suite (particularly InDesign, Illustrator, and Photoshop) and Canva are preferred to support basic graphic design needs.
 </li>
 <li>
 Familiarity with social media tools, media monitoring tools, media databases and website content management systems. Experience with Constant Contact, JD Supra, WordPress, Agility, Nexl, and CVENT a plus.
 </li>
 <li>
 Strong interpersonal and verbal communication skills needed to successfully interface with a variety of individuals internally and externally.
 </li>

 WORKING CONDITIONS:
 
 
 
 
 PHYSICAL EFFORT: Manual dexterity used in operating standard office equipment. Prolonged periods of sitting. May be required to walk to various areas throughout the office building. This may require use of elevators and/or stairs.

 JOB STATUS:
 
 
 This is a full-time, non-exempt position. Work after hours or on weekends may be occasionally expected or required. Limited travel is expected.
 
 
 The position is required to work in the office full-time, five days a week, Monday - Friday. The department&rsquo;s policy on remote work is that team members are eligible for remote work on a hybrid schedule after 12 consecutive months of full-time employment. The hybrid schedule includes a maximum of 2 days per week of remote work where the two days selected must be consistent week to week. Approval of a hybrid work schedule is contingent upon work performance, direct supervisor review and approval in addition to the reviews/approvals outlined in the firm&rsquo;s remote work policy.
