Position Overview 
We are hiring a Tax &amp; Estate Attorney with approximately 3&ndash;5 years of experience and a strong background in advanced estate, income tax, and trust administration matters. This full-time position has opened due to growth within the department and offers exceptional opportunities for professional development and long-term career advancement.<ul><li>
Position: Tax &amp; Estate Attorney
</li><li>Status: Full-Time, Direct Hire</li><li>
Billable Hours: 1,500&ndash;1,600 annually</li><li>
Location: Remote (Orange County preferred; one in-office day per week required)</li><li>
Compensation: $170,000 &ndash; $190,000 base (DOE) + Merit-Based Bonus Program</li></ul> 

Key Responsibilities 
The Tax &amp; Estate Attorney will handle a sophisticated mix of estate and tax planning matters, including:<ul><li>
Advising on advanced estate, gift, and income tax planning strategies, including wealth-transfer structure, business succession planning and tax-efficient entity structuring.</li><li>
Drafting and structuring revocable living trusts, irrevocable gift trusts, and advanced transfer instruments, including GRATs, IDGTs, and SLATs.</li><li>
Managing trust administration matters for high-net-worth clients, including interpretation of trust terms, fiduciary guidance, and beneficiary communications.
</li><li>Conducting legal research and preparing technical memoranda on tax and estate issues</li><li>
Reviewing and overseeing fiduciary, gift, and related trust tax compliance, and coordinatingwith tax preparers and advisors.
</li><li>Handling non-probate estate administration, including identifying, validating, and coordinating the transfer of beneficiary-designated and jointly-titled assets outside of probate or trust proceeding</li><li>
Collaborating with financial advisors, CPAs, and other professionals to implement integrated wealth-planning strategies</li><li>
Maintaining strong client relationships, delivering clear communication, and ensuring a high-touch client experience throughout the planning and administration process.</li></ul>
Required Qualifications (Must-Haves)<ul><li>
Juris Doctor (JD) from an accredited law school</li><li>
California Bar admission required</li><li>
3&ndash;5 years of experience in estate planning, tax planning, and trust administration</li><li>
Demonstrated ability to work on advanced estate and income tax planning matters</li><li>
Experience drafting and structuring a wide range of trust vehicles</li><li>
Strong written and verbal communication skills; confidence interacting with high-net-worth clients</li><li>
High attention to detail and ability to manage multiple complex matters simultaneously</li></ul>
Preferred Qualifications (Nice-to-Haves)<ul><li>
LL.M. in Taxation or Estate Planning (highly preferred)</li><li>
Strong background in tax law and/or prior experience in a tax-focused legal practice</li><li>
Experience in a law firm environment serving high-net-worth individuals and privately held businesses</li><li>
Creating and structuring business entities, including preparing and filing formation documents, drafting governing agreements, and coordinating required tax elections such as S-corporation status</li></ul>

Overview 
The Legal Operations Specialist is responsible for driving the operational effectiveness of the legal department. This role is highly execution-focused, ensuring that legal projects, attorney workflows, revenue-generating activities, and outsourcing pipelines move forward efficiently and transparently. The person in this role will manage engagement letter drafting, track project statuses in real time, coordinate with attorneys, oversee outsourced counsel assignments, and ensure all legal operations processes run smoothly and on schedule. 
The ideal candidate is highly detail-oriented, organized, proactive, and able to operate as the central coordinator of the legal department, maintaining visibility into all matters, deadlines, follow-ups, metrics, and business development operations. 
Key Responsibilities 
1. Workflow &amp; Project Management<ul><li>
Draft, prepare, and manage engagement letters and related onboarding materials for new matters.</li><li>
Own the legal intake and triage process, ensuring matters are properly categorized, prioritized, and assigned.</li><li>
Maintain real-time visibility into all ongoing projects; track status, deadlines, and attorney assignments.</li><li>
Proactively follow up with attorneys on next steps, deliverables, and client commitments.</li><li>
Set internal reminders, follow-ups, and escalation points when tasks or milestones are at risk.</li><li>
Ensure attorneys and outsourced counsel meet internal deadlines by tracking deliverables, sending timely reminders, escalating delays, and ensuring clarity around next steps.</li><li>
Prepare weekly legal department summaries, meeting agendas, matter snapshots, and follow-up lists for the Head of Legal to ensure full visibility into priorities and deadlines.</li><li>
Coordinate communications between attorneys, outsourced counsel, and internal departments to ensure timely completion of work.</li><li>
Act as the central point of coordination so the Head of Legal always knows where revenue-generating matters stand.</li></ul>
2. Operational Infrastructure &amp; Process Optimization<ul><li>
Develop and refine standardized legal workflows for intake, assignments, tracking, and reporting.</li><li>
Monitor database entries completed by the data entry team and ensure accuracy of matter status and performance metrics.</li><li>
Update and maintain existing Excel-based reports and project-management-system reports, ensuring data is accurate, complete, and current.</li><li>
Improve overall legal workflows by identifying inefficiencies and proposing solutions that increase team productivity.</li><li>
Continually assess attorney and outsourced counsel capacity to anticipate workload bottlenecks and proactively rebalance assignments.</li><li>
Develop and maintain standard operating procedures (SOPs), templates, and workflow documentation to ensure consistency and clarity across the legal department.</li><li>
Ensure adherence to internal legal processes, templates, approval paths, and policy requirements across the department.</li></ul>
3. Outsourced Counsel &amp; Resource Management<ul><li>
Oversee the assignment and sourcing of outsourced attorneys for various matters.</li><li>
Maintain a database of outsourced attorneys, including experience, specialties, and performance history.</li><li>
Match projects to the appropriate outsourced attorney based on skill, availability, and deadlines.</li><li>
Track progress, deadlines, and deliverables of outsourced counsel; ensure alignment with internal expectations.</li><li>
Assist with tracking outsourced counsel costs and supporting alignment with legal spend expectations.</li></ul>
4. Business Development &amp; Revenue Tracking<ul><li>
Track where legal revenue is being generated across matters and provide status summaries for leadership.</li><li>
Ensure weekly and monthly revenue reports are correctly updated in Excel and within the project management system.</li><li>
Ensure engagement letters, new matters, and workflow timelines align with revenue and business development objectives.</li></ul>
5. Technology &amp; Systems Management<ul><li>
Administer and maintain legal operations tools (intake systems, matter trackers, shared drives, Excel/Sheets databases).</li><li>
Use existing project management and reporting tools to keep matter statuses and revenue indicators accurate and current.</li><li>
Recommend tools or automations that reduce manual work.</li><li>
Support maintenance of internal knowledge bases and operational documentation.</li></ul>
Qualifications 
Education<ul><li>
Bachelor&rsquo;s degree required.</li><li>
Certifications in Legal Operations, Project Management, or Business Operations a plus.</li><li>
Paralegal certificate not required.</li></ul>
Experience<ul><li>
3&ndash;7 years of experience in a legal operations, legal project management, or legal/business coordination role (in-house preferred).</li><li>
Proficiency maintaining and updating structured reports in Excel and within project management tools.</li><li>
Experience with matter-tracking systems, workflow tools, or operational dashboards.</li><li>
Strong background in legal department operations or business operations roles.</li><li>
Experience triaging legal intake or managing organizational workflows strongly preferred.</li></ul>
