We are currently seeking a detail-oriented and organized Accounts Payable Specialist to join our team. This position is responsible for managing and processing vendor invoices, ensuring timely and accurate payments, and maintaining positive vendor relationships.
The ideal candidate will possess strong organizational skills, a high level of attention to detail, and the ability to work collaboratively across departments to resolve discrepancies and support overall financial operations.
Key Responsibilities
<ul><li>Receive and manage vendor invoices via email and mail
</li><li>Review and reconcile trade vendor invoices against purchase orders for accuracy
</li><li>Review expense invoices for proper approval, accuracy, and account coding
</li><li>Analyze and resolve invoice discrepancies by partnering with inside sales and receiving teams
</li><li>Post vendor invoices both electronically and manually, including through automated AP systems
</li><li>Prepare weekly cash requirements and generate approved check run listings
</li><li>Process payments (checks, ACH, wire transfers), including matching invoices to payments
</li><li>Invoice customers for direct vendor shipments
</li><li>Review freight vendor invoices and allocate charges appropriately to customers
</li><li>Reconcile and process customer credits
</li><li>Match vendor returns with credit memos and enter into the payables system
</li><li>Monitor vendor statements and research outstanding balances
</li><li>Perform additional duties as assigned by management
</li></ul>Qualifications
<ul><li>3&ndash;5 years of accounts payable or general accounting experience, including:
<ul><li>Reviewing and entering vendor invoices
</li><li>Matching invoices to purchase orders and supporting documentation
</li><li>Working within ERP/accounting systems (e.g., QuickBooks or similar)
</li><li>Processing payments via ACH, wire transfers, and checks
</li><li>Reconciling vendor statements and outstanding balances
</li><li>Understanding of audit requirements and internal controls
</li></ul></li><li>Excellent verbal and written communication skills
</li><li>Strong interpersonal skills with the ability to manage challenging vendor interactions professionally
</li><li>High attention to detail with a strong focus on accuracy
</li><li>Ability to quickly learn and adapt to new systems and processes
</li><li>Self-motivated with the ability to work both independently and collaboratively
</li><li>Strong organizational and multitasking skills; ability to meet deadlines in a fast-paced environment
</li><li>Proficiency in Microsoft Office Suite and Windows-based programs
</li><li>Experience in manufacturing or distribution environments
</li><li>Familiarity with AP automation tools or document management systems
