POSITION PURPOSE
 
The Leave & Compliance Coordinator is responsible for administering employee leave of absence programs and supporting compliance with federal, state, and local employment laws. This role serves as a key partner to employees, managers, and HR leadership by ensuring consistent, timely, and compliant handling of FMLA, ADA, and other leave-related matters across a multi-state workforce.
 
ESSENTIAL DUTIES

 1. Administer and manage all aspects of employee leave programs, including:
 a. Family and Medical Leave Act (FMLA)
 b. Americans with Disabilities Act (ADA) interactive process
 c. State and local leave programs
 d. Personal and medical leaves of absence
 
2. Coordinate the full leave lifecycle: 
a. Intake and eligibility determination
 b. Distribution and tracking of required documentation
 c. Ongoing communication with employees and leadership
 d. Return-to-work coordination
 3. Ensure timely and compliant handling of leave requests in accordance with company policy and applicable laws
 4. Maintain accurate leave records within the HRIS and ensure proper documentation and audit readiness
 5. Serve as a primary point of contact for employees regarding leave status, benefits impacts, and required actions
 6. Partner with Payroll and Benefits to ensure accurate deductions, benefits continuation, and reconciliation during leaves
 7. Monitor multi-state law changes and assist in updating policies and practices to ensure compliance.
 8. Support ADA accommodations by facilitating the interactive process and coordinating medical certifications
 9. Assist with reporting, compliance audits, and HR metrics related to leave and accommodations.
 10. Provide education and guidance to leaders and HR team members on leave and compliance processes.
 11. Assist with employee relations matters and investigations as needed.
 12. Respond to HR inquiries daily
 13. All other duties as assigned
 
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
 The requirements listed below are representative of the knowledge, skill, and/or ability necessary to perform this job.
 
EDUCATION and/or EXPERIENCE
 A bachelor’s degree (B.A. / B.S.) in Human Resources or related field or the equivalent combination of education and experience is preferred but not required. 2 to 4 years of experience with focus on leave administration, compliance, or employee relations. Multi-State HR experience preferred.
 
LANGUAGE SKILLS
 Strong oral and written communications skills required. Reads and interprets documents such as leave documentation and multistate legal requirements. Routinely speaks effectively before groups of customers, clients, and managers and/or employees of organization. Strong organizational skills with ability to manage multiple cases simultaneously. High attention to detail and ability to maintain confidential information.
 
REASONING/PROBLEM SOLVING ABILITY
 Routinely solves practical problems and deals with a variety of concrete variables in situations where standardization exists. Able to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 Operational – Makes day-to-day and/or daily decisions used to support strategic direction. Decisions often require thought and are structured. Decisions tend to be short term (one year or less) and usually moderate to high cost.

Qualifications
