For over 20 years, we&rsquo;ve built our reputation on responsiveness, accountability, and delivering a true &ldquo;WOW&rdquo; service experience.We are growing and need a dependable, detail-oriented team member to help manage the day-to-day operational and financial workflow of the business.Position OverviewThis role is a critical support position that combines bookkeeping, administrative coordination, HR support, and operational ownership.You will be responsible for ensuring that:<ul><li>Bills are paid</li><li>Invoices are sent and tracked</li><li>Taxes and compliance items are handled</li><li>Benefits and insurance programs are maintained</li><li>Employees are properly onboarded and offboarded</li><li>Receivables are actively managed and collected</li><li>Purchase orders and vendor workflows are handled correctly</li><li>Systems and records remain accurate and up to date</li></ul>This is not just a bookkeeping role &mdash; this is a hands-on, detail-driven role requiring real accounting experience and ownership.This position is structured as a part-time role with a consistent 3-day work schedule. As the company continues to grow, there is strong potential for this role to expand into a full-time position for the right person.Systems You Will Use Daily<ul><li>ConnectWise Manage (PSA)</li><li>ConnectBooster (payments &amp; collections)</li><li>QuickBooks Desktop (primary accounting system)</li><li>Bernie Portal (HR &amp; benefits)</li><li>Ubiquity 401(k) Portal</li><li>Insurance provider portals (workers comp, E&amp;O, liability)</li></ul>You must be comfortable learning and working across multiple systems daily.Key ResponsibilitiesFinancial Operations (Core Responsibility)<ul><li>Manage Accounts Payable in QuickBooks Desktop:</li><li>Enter and process vendor bills correctly</li><li>Pay bills accurately and on time</li><li>Manage Accounts Receivable, including:</li><li>Track all outstanding invoices</li><li>Follow up on past-due invoices (email and phone)</li><li>Assist with collections in a professional and consistent manner</li><li>Process client payments and apply correctly in QuickBooks</li><li>Reconcile bank and credit card accounts</li><li>Ensure ConnectWise invoices sync properly with QuickBooks</li><li>Assist with purchase order (PO) processing, including:</li><li>Creating and managing POs in ConnectWise Manage</li><li>Ensuring accurate syncing between ConnectWise and QuickBooks</li><li>Converting POs to bills in QuickBooks for payment</li><li>Verifying accuracy of vendors, costs, and line items</li><li>Assist with payroll processing (semi-monthly)</li><li>File and manage:</li><li>Sales tax</li><li>Federal payroll taxes</li><li>Required tax filings and deadlines</li><li>Assist with:</li><li>Business property tax filings</li><li>Business property audits</li><li>Maintain clean, accurate, and audit-ready financial records</li></ul>Benefits, Insurance &amp; Compliance Administration<ul><li>Manage company benefits including:</li><li>401(k) plan administration (Ubiquity)</li><li>Health, dental, vision, and life insurance (Bernie Portal)</li><li>Coordinate enrollments, changes, and terminations for employees</li><li>Act as point of contact for benefits providers and resolve administrative issues</li><li>Ensure all benefits invoices are accurate and paid on time</li><li>Maintain up-to-date records for all employee benefits</li><li>Manage business insurance policies:</li><li>Workers&rsquo; Compensation</li><li>Errors &amp; Omissions (E&amp;O)</li><li>General Liability</li><li>Track renewals, ensure policies remain active, and coordinate with providers</li><li>Assist with audits, documentation requests, and compliance-related items</li></ul>HR Administration (Onboarding &amp; Offboarding)<ul><li>Manage employee onboarding and offboarding processes, including:</li><li>Benefits enrollment and termination</li><li>401(k) setup and updates</li><li>Coordination with payroll and HR systems</li><li>Maintain accurate employee records across all systems</li><li>Assist with PTO tracking, reimbursements, and employee updates</li></ul>Administrative &amp; Operational Support<ul><li>Monitor and manage AP/AR email inboxes</li><li>Follow up on outstanding items (payments, approvals, documents)</li><li>Assist with invoicing and billing coordination</li><li>Help keep internal processes organized and moving</li><li>Pick up mail and handle deposits when needed</li><li>Maintain clean and organized records (digital and physical)</li></ul>What Success Looks Like<ul><li>Bills, taxes, benefits, and insurance policies are always current</li><li>Invoices are sent consistently and accurately</li><li>Past-due invoices are actively followed up and minimized</li><li>Purchase orders and vendor workflows are handled correctly</li><li>Employees are onboarded and offboarded without issues</li><li>QuickBooks is clean, accurate, and up to date</li><li>Nothing falls through the cracks</li><li>The owner is no longer chasing operational or administrative tasks</li></ul>Required Qualifications (Read Carefully)<ul><li>3&ndash;5+ years of hands-on bookkeeping, accounting, or operations experience</li><li>Strong, practical QuickBooks Desktop experience (required)</li><li>Applicants must be legally authorized to work in the United States now and in the future without sponsorship. This position does not offer visa sponsorship.
