Salary: SCP 24, &pound;26,175 per annum

About the Role
The Glasshouse International Centre for Music is an amazing venue, and we offer the building for hire. Our Events and Hires team are responsible for this area of income and operational delivery, working with a huge range of clients whether it&rsquo;s an international association or household brand names. The team also support the use of the building by charitable organisations such as schools and amateur choirs. 
As part of the team, you could work on everything from multi-day exclusive building hire conferences, gala dinners, concerts/shows for up to 2,500 school children, live media broadcasts, trade expos and even location filming/photography. 
We&rsquo;ll need you to work with colleagues and stakeholders, utilising the uniqueness of the venue and high levels of in-house expertise, to create memorable solutions to client briefs, tailored to their objectives and budgets. 
About you

The Events &amp; Hires Operations Coordinator will plan and deliver a varied programme of external events from a range of clients including association, corporate, charitable and the private sector. 
You&rsquo;ll work as part of the Events &amp; Hires team to achieve the department&rsquo;s income target, and deliver the highest possible service standards, with a creative and innovative approach. 
It would be great if you had experience in:<ul><li>
Excellent track record in customer service</li><li>
An understanding of live events in the MICE industry</li><li>
A passion for live events</li><li>
Highly organised</li><li>
Excellent communication skills</li><li>
Comfortable in working closely with a range of clients, across multiple sectors and at different seniority levels</li><li>
An understanding of emerging trends in the MICE industry and wider events sector</li><li>
Ability to work under own initiative and as part of a team</li><li>
Pragmatic and flexible approach to work, with the ability to prioritise and multi-task</li></ul> 
It also helps if you have:<ul><li>
Supervisory experience</li><li>
Demonstrable experience in event delivery, individually and as part of a team</li><li>
Experience in achieving targets</li><li>
Demonstrable experience in admin of contracts and invoicing</li><li>
Event management experience</li><li>
An understanding of sustainability best practice</li><li>
A passion for creative food and drink</li></ul> 
You&rsquo;ll be responsible for:<ul><li>
Plan and deliver assigned events, independently and/or as part of the team.</li><li>
Support the Head of Operations, Events &amp; Hires on complex event delivery.</li><li>
Develop strong relationships with your clients.</li><li>
Maximise commercial income, including through secondary spending, where possible. Work as part of the team to achieve set sales and delivery targets.</li><li>
Work with all clients to creatively deliver events, ideation, plans and proposals, with a pragmatic and imaginative approach.</li><li>
Develop excellent relationships with clients and stakeholders, maintaining the venue&rsquo;s reputation for world-class event delivery.</li><li>
Actively identify opportunities for repeat events and clients, working to secure this business through effective account management, supported by the Head of Operations, Events &amp; Hires and Head of Sales, Events &amp; Hires as required.</li><li>
During event delivery days supervise the casual event liaison team.</li><li>
Adhere to all relevant health, safety and safeguarding practices for all events, seeking guidance where needed.</li><li>
Ensure that all invoicing and contracting is completed in accordance with set guidelines and timeframes.</li><li>
Represent The Glasshouse at external events, trade shows, networking and meetings (regionally, nationally and internationally as required).</li><li>
Represent the events &amp; hires function at internal events and meetings.</li><li>
Adhere to all team protocols and processes to ensure the best &lsquo;Glasshouse&rsquo; experience for clients and delegates.</li><li>
Deputise for the Head of Operations, Events &amp; Hires where required.</li><li>
Support the Head of Sales, Events &amp; Hires and Events &amp; Hires Sales Coordinator in sales and marketing activity during heightened demand.</li><li>
Always adhere to health and safety guidelines in the workplace.</li></ul>
