Job Summary We are seeking a dedicated and detail-oriented Intake Coordinator to join our law firm team. The ideal candidate will play a crucial role in managing client intake processes, ensuring accurate documentation, and providing exceptional service to clients. This position requires proficiency in various legal software systems and willingness to learn nuanced legal process and procedure.Responsibilities<ul><li>Answer phones timely to direct calls, as appropriate</li><li>Manage the client intake process, including scheduling appointments and verifying payment information.</li><li>Conduct thorough documentation reviews</li><li>Data entry and management.</li><li>Assist in the collection of records and ensure proper filing within the system.</li><li>Communicate effectively with clients regarding matter and billing inquiries.</li><li>Provide clerical support including typing, filing, and maintaining organized client records.</li><li>Demonstrate excellent phone etiquette while handling multi-line phone systems to assist clients and lawyers providers.</li><li>Collaborate with staff to facilitate smooth operations within the firm.</li></ul>Requirements<ul><li>Previous experience in a law office or office setting is preferred, with familiarity in roles such as receptionist or administrative support.</li><li>Proficient in data entry and billing practices.</li><li>Knowledge of CRM systems and data management</li><li>Strong computer skills including proficiency in Microsoft Office applications.</li><li>Bilingual candidates are encouraged to apply for enhanced client communication.</li><li>Excellent customer service skills with the ability to handle sensitive information confidentially.</li><li>Attention to detail and strong organizational skills are critical for success in this role.
