<br><p></p><div><div><p><b>Position Summary</b></p>
<p>
The Program Delivery &amp; Systems Associate will play a critical role in supporting the coordination and execution of program activities under the Program Delivery Specialist.</p>
<p>
The role will serve as a central coordination point, maintaining strong communication linkages with internal teams, Program Managers, and relevant external stakeholders. It will ensure timely tracking of deliverables, alignment with program targets and M&amp;E frameworks, and consolidation of results reporting.</p>
<p>
A key focus of the position is operational efficiency, adherence to reporting timelines, and strengthening systems for data management, documentation, and performance monitoring across projects.</p>
<p><b>
Key Responsibilities</b></p>
<p><b>
1. Program Coordination &amp; Delivery Tracking</b></p>
<ul>
<li><p>Maintain a centralized system for tracking all program deliverables across projects (monthly, quarterly, and annual).</p>
</li>
<li><p>Monitor deadlines, flag risks, and follow up with Program Managers to ensure timely submissions.</p>
</li>
<li><p>Support coordination of key initiatives including Justice Hubs expansion, DEPD GRM, and new program rollouts.</p>
</li>
</ul><p><b>2. Results Reporting &amp; Data Systems</b></p>
<ul>
<li><p>Lead consolidation of program data for:Develop and maintain standardized data collection templates across programs.</p>
<ul>
<li>Quarterly reports</li>
<li>Annual Results Report</li>
<li>Donor reporting requirements</li>
</ul>
</li><li><p>Ensure data quality, consistency, and timely availability from all teams.</p>
</li>
</ul><p><b>3. ERP Coordination &amp; Optimization</b></p>
<ul>
<li><p>Act as focal person for ERP usage across Programs.</p>
</li>
<li><p>Support teams in:Identify inefficiencies and recommend process improvements and automation solutions.</p>
<ul>
<li>Data entry compliance</li>
<li>Troubleshooting system issues</li>
<li>Ensuring alignment between program outputs and ERP inputs</li>
</ul>
</li></ul><p><b>4. Dashboarding &amp; Institutional Reporting</b></p>
<ul>
<li><p>Develop and maintain periodic dashboards (monthly/quarterly) covering:Prepare concise analytical briefs for leadership and external stakeholders.</p>

<li>Key results indicators</li>
<li>Delivery status</li>

</li></ul><p><b>5. Documentation &amp; Knowledge Management</b></p>
<ul>
<li><p>Maintain structured documentation of:Ensure version control and strengthen institutional knowledge systems.</p>

<li>Proposals and donor submissions</li>
<li>SOPs and internal trackers</li>
</ul>
</li></ul><p><b>6. Donor &amp; Reporting Calendar Management</b></p>
<ul>
<li><p>Maintain a centralized calendar for:Ensure timely reminders and readiness across all teams.</p>
<ul>
<li>Donor deadlines</li>
<li>Reporting cycles</li>
<li>Proposal submissions</li>
</ul>
</li></ul><p><b>7. Process Improvement &amp; Automation</b></p>
<ul>
<li><p>Identify repetitive manual workflows and improve them through:Support digitization of reporting and coordination processes.</p>
<ul>
<li>Standardized templates</li>
<li>Tracking tools</li>
<li>Basic automation (Excel/ERP integrations, dashboards)</li>
</ul>
</li></ul><p><b>8. Communications &amp; Visibility Support</b></p>
<ul>
<li><p>Support preparation of:Assist in translating program outputs into external visibility and storytelling materials.</p>
<ul>
<li>Program briefs</li>
<li>Impact summaries</li>
<li>Social media content (in coordination with the Communications team)</li>
</ul>
</li></ul><p><b>Requirements</b></p>

Required Skills &amp; Competencies</b></p>
<ul>
<li><p>Strong organizational and coordination skills with high attention to detail.</p>
</li>
<li><p>Ability to manage multiple deadlines and stakeholders simultaneously.</p>
</li>
<li><p>Proactive, problem-solving mindset with strong ownership of tasks and outcomes.</p>
</li>
<li><p>Strong data handling and reporting skills (Excel, dashboards, trackers).</p>
</li>
<li><p>Ability to quickly learn and navigate systems; ERP experience preferred.</p>
</li>
<li><p>Clear, concise, and effective written communication skills.</p>

<li><p>High responsiveness with strong follow-through.</p>

</ul><p><b>Experience &amp; Qualifications</b></p>

<li><p>2&ndash;3 years of experience in:</p>
<ul>
<li>Program coordination</li>
<li>Project management</li>
<li>Operations support</li>
</ul>
</li><li><p>Experience working with:Bachelor&rsquo;s degree in a relevant field (preferred).</p>
<ul>
<li>Reporting systems</li>
<li>Donor-funded projects (preferred)</li>
<li>ERP or similar platforms (strong advantage)</li>
</ul>
