Job Description: HR Manager
Report to: Tara Reader, Director, People &amp; Operations
Job Outline:
The HR Manager is responsible for ensuring that all administrative processes run smoothly within the human resources department.
Key Responsibilities:
PRO Management
<ul><li>Coordinate, manage and monitor PRO activities;
</li><li>Coordinate and manage all PRO requirements;
</li><li>Provide the PRO with all necessary documents needed to complete each specified activity;
</li><li>Discuss the steps that should be taken to complete each activity in the most efficient, cost-effective way.
</li></ul>Administration
<ul><li>Maintain staff files (hardcopies and softcopies), including all ID copies and documents relevant to each person&rsquo;s employment;
</li><li>Scan new / renewed ID copies &amp; format them into jpeg and pdf formats;
</li><li>Monitor staff document / ID expiry dates and process renewals as / when necessary;
</li><li>Monitor / process all company registrations renewals;
</li><li>Arrange medical insurance cover for employees;
</li><li>Create and revise standardised employee letters;
</li><li>Report all ongoing and future requirements to your line manager;
</li><li>Book plane tickets for work-related travel.
</li></ul>Financial
<ul><li>Create cash requests for all PRO activities;
</li><li>Monitor PRO payment reports;
</li><li>Create expense reports for issued cash cheques;
</li><li>Create expense reports for all HR-related costs;
</li><li>Manage and maintain petty cash issued to the HR department.
</li></ul>HR Policies &amp; Procedures
<ul><li>Update standardised company policies and documents;
</li><li>Prepare company-wide public holiday notifications;
</li><li>Prepare staff letters, enforcing new / existing company policies and procedures;
</li></ul>Recruitment
<ul><li>Coordinate recruitment requirements;
</li><li>Process new job requisitions through Workday;
</li><li>Contact potential candidates and schedule interviews.
</li></ul>Onboarding and Offboarding
<ul><li>Coordinate employee onboarding and offboarding procedures;
</li><li>Arrange for all required items for new employees (mobiles, laptops, rental vehicles, etc.).
</li></ul>Employee Management
<ul><li>Submit requests for staff hardware requirements;
</li><li>Nurture a positive working environment;
</li><li>Collect and record all employee requests, complaints, and notifications, reporting them directly to your line manager.
</li></ul>Training &amp; Development
<ul><li>Assess training needs;
</li><li>Monitor expiration dates of training certificates.
</li></ul>Payroll
<ul><li>Assist with any payroll and overtime entry requirements.
