Position OverviewThe Texas Exes is looking for an Executive Assistant to perform a variety of administrative tasks, support our executive staff, and assist with the day-to-day operations of leadership team.The ideal executive assistant is motivated, resourceful, proactive, and professional. They maintain confidentiality, use discretion, manage their own workload without guidance, and prioritize tasks in a fast-paced environment. They are exceedingly well-organized, detail-orientated, flexible, have great time-management skills, and possess a positive, can-do attitude. Additionally, they are adept in technology, learn quickly, and can anticipate needs.Major Job Functions&middot; Complete a broad variety of administrative tasks, including:o Managing executives&rsquo; calendars and scheduling meetings requiring interaction with both internal and external executives, board of directors and committee members, key alumni, campus administration, faculty, their assistants, and staffo Meeting coordination including creating and compiling documents, creating presentations, catering coordination, A/V requests, parking and meeting space reservations, and general assistance with any other necessary collateralo Composing and preparing correspondenceo Arranging travel plans, itineraries, and agendas as requiredo Completing expense reports<ul><li>Work closely and effectively with executives to keep them well-informed of upcoming commitments and responsibilities, and follow up appropriately</li><li>Attend meetings with executives when needed to take minutes and notes and follow up on required tasks</li><li>Proofread documents, scripts, and correspondence</li><li>Serve as gatekeeper for executives including:</li><li>filtering callers and visitors</li><li>helping or directing incoming callers and visitors appropriately</li><li>maximizing the time of those you support</li><li>Administer a wide range of special projects</li><li>Format documents, presentations and reports for internal and external communication</li><li>Perform general administration duties such as copying, filing, shipping packages, campus deliveries, etc.</li></ul>Essential Job Requirements<ul><li>Experience as a successful executive administrative assistant reporting directly to senior management</li><li>Experience working in the Texas Legislature, U.S. Congress, or other government entity preferred</li><li>Strong interpersonal skills</li><li>Excellent written and verbal communication skills</li><li>Excellent grammar, punctuation and spelling skills</li><li>Highly professional demeanor; emotional maturity</li><li>Strong attention to detail</li><li>Outstanding organizational and time management skills</li><li>Strong proficiency of MS Office, including Outlook, Word, Excel, PowerPoint, and SharePoint</li><li>Strong calendar management skills</li><li>Computer literacy adequate for database manipulation and report generation</li><li>Experience with Salesforce and Office 365 preferred</li><li>Aptitude for being self-directed with long-term projects.</li><li>Be available for occasional after-hours work-related issues and questions from AED and ED</li><li>Ability to work occasional weekends and evenings</li><li>Proof of work authorization upon hire</li><li>Pass background check</li></ul>The Texas Exes prides itself on being a family-oriented and fulfilling working environment. The Controller is a full-time, exempt position responsible for administering the financial activities of the organization in compliance with generally accepted principles of accounting, maintaining the accuracy and integrity of the general ledger, and the preparation and distribution of financial reporting.Major Job Functions &middot; Oversee and/or perform all procedures related to month and year-end closing.&middot; Reconciliation of general ledger accounts and schedules.&middot; Preparation of monthly financial statements and cash forecasting.&middot; Provide all reporting requested by CFO, CEO, and departmental leadership.&middot; Manage accounting staff.&middot; Ensure proper internal controls are in place.&middot; Oversight of accounts receivable and coordination of collections from third parties.&middot; Coordinate with development staff to ensure proper recording of payments and pledges in accounting application and CRM database.&middot; Routine reporting to the University of Texas at Austin.&middot; Fixed asset database maintenance.&middot; Work with an outside accounting firm on the annual audit and tax filings.&middot; Review and approval of daily receipt data entries.&middot; Review and approval of accounts payable.&middot; Assist CFO with the following duties:o Annual budgeting processo Audit, Finance, and Investment Committee meetingso Other duties as assignedEssential Job Requirements &middot; Licensed Certified Public Accountant.&middot; Thorough understanding of GAAP as well as best-practice procedures and internal controls.&middot; 3+ years&rsquo; experience with accounting software, preferably MIP Abila Fund Accounting.&middot; Extensive experience with Excel.&middot; Highly dependable and detail oriented.<ul><li>Excellent analytical and problem-solving skills.</li></ul>&middot; Strong written and oral communication skills.<ul><li>Strong administrative and organizational skills (ability to effectively prioritize, manage time, and meet deadlines on multiple projects).</li><li>Ability to work and thrive in a fast-paced environment both independently and in collaboration with various departments.</li></ul>&middot; Passion for working for an organization that is committed to a diverse and inclusive work environmentOther Skills/Abilities/Success Factors &middot; Ability to attend evening and weekend events<ul><li>Experience with Salesforce (preferred).</li><li>Non-profit experience (preferred</li></ul>The Texas Exes prides itself on being a family-oriented and fulfilling working environment.
