</b></h2>The Mobile Phlebotomist drives from location to location during the shift when necessary. The person in this position must be able to plan and ensure arriving at the predetermined location at a pre-set time for blood collection on Executive Health Program clients and other patients. Most blood draws will be early morning for fasting labs, but potential exists for blood draws at different times throughout the day. This position will perform standardized and specialized phlebotomy procedures on patients of all ages in a safe, accurate and professional manner. The Mobile Phlebotomist uses personal vehicle, displayed with a magnetic University of Kansas Health System sign, to travel to Health System locations, and/or a patient's home or workplace to draw blood.

When not specifically performing mobile phlebotomy duties the Mobile Phlebotomist will be assigned to an ambulatory area and will collect blood samples, receive and process samples and assist with other pre-analytical tasks.

The Mobile Phlebotomist follows regulatory, accreditation, safety and hospital standards, policies and procedures and participates in quality assurance and quality improvement activities.
<p></p><b>Responsibilities and Essential Job Functions
</b><ul><li>Must at all times, present oneself in a professional manner, adhere to Mobile Phlebotomy Dress code of navy or black matching scrubs with Kansas University Health System warm-up jacket provided by the University of Kansas Health System, and demonstrate exemplary customer service to our Executive clients.
</li><li>Perform emergency first aid as necessary and recognize the need for patient medical assistance and call for support
</li><li>Must ensure that mobile phlebotomy totes are equipped with in-date supplies necessary for mobile collection
</li><li>The phlebotomists&rsquo; vehicle will be clean and maintained. It will properly display a magnet tag identifying the University of Kansas Health System during working hours. During off hours the magnet tag will be removed and stored such that it is kept clean and ready for next use.
</li><li>Must be able provide clear and accurate patient instructions for sample collection
</li><li>Sample processing including use of portable centrifuge to ensure that specimen quality is not diminished during transport
</li><li>When not specifically performing mobile phlebotomy duties, the phlebotomist will be assigned to an ambulatory area and will be collecting blood samples, receiving and processing samples and assisting with other pre-analytical tasks
</li><li>Participates in teaching phlebotomy to CLS students, nursing staff and new employees
</li><li>Provide mentoring and other training support for other employees as needed
</li><li>Must be responsible for positive patient identification, specimen integrity and sample labeling.
</li><li>Must adhere to hospital patient isolation precautions
</li><li>Responsible for disposal of blood drawing equipment according to health and safety regulations prescribed in hospital policy; no waste of any type left at a patient&rsquo;s home or workplace. UKHS locations will have biohazard and sharps trash.
</li><li>May perform out-patient check-in and order-entry of laboratory tests in laboratory information system (LIS) or release of appropriate laboratory tests in hospital information system (HIS).
</li><li>Uses exemplary &ldquo;concierge&rdquo; customer service duties to include: work in an efficient and respectful manner for all clients; arrive promptly; make sound decisions, prioritize work; analyze complex orders, and problem solve as necessary; interact with customers and patients in a pleasant, respectful, professional and cooperative manner both in person and on the telephone at all times
</li><li>Maintains a professional image and adheres to the dress code established for Mobile Phlebotomy of solid navy or black matching scrubs provided by the University of Kansas Health System.
</li><li>Pre-analytical duties include sample processing and preparing specimens for transport.
</li><li>Other tasks that may be required during periods of time when the mobile phlebotomist is not traveling include performance of quality assurance tasks, result faxing, supply ordering, and receipt of surgical samples, tissues, fluids from other departments, 24-hour urine management, and ensuring accuracy of labeling and patient ID prior to processing for transport to lab.

</b></h2>The Patient Scheduling Specialist in call center location monitors incoming call volume throughout the day and assigns staff accordingly to various scheduling duties. Specialist may also function as an associate/representative as needed.

Patient Scheduling Specialist located in Clinic locations are responsible for creating a seamless experience by coordinating and scheduling appointments for patients; including imaging, laboratory, clinic, infusion, treatment, and/or procedures. The Specialist is an important member of the physician's care team and critical in creating a pleasant patient experience within an ambulatory clinic.

Position may provide support for front desk operations including greeting and checking in customers and visitors, answering calls, copay collection, completing MyChart and EMR appointment requests, processing external medical records and helping the physician care team prepare for their daily appointments.

This team member has demonstrated their ability to manage the most advanced scheduling and rescheduling workflows in the clinic. This position may be an escalation point for lower level schedulers. This position may also be required to leverage additional scheduling systems to coordinate schedules for patient care.
<p></p><b>Responsibilities and Essential Job Functions
</b><ul><li>Responds to a high-volume of incoming telephone calls. Responsible for accurate scheduling/re-scheduling/cancellations of patient visits; including clinic appointments (in person and telehealth), treatments such as (chemotherapy, radiation therapy, surgeries, procedures and/or ancillary services) using extensive knowledge of appointment types, locations, providers and specialties. The specialist will be responsible for more complex disciplines (GI, Multi-Discipline Clinics, Study Patients, etc.)
</li><li>Responsible for registration of patient during the scheduling process, including entering demographics, insurance verification, completing the Medicare Secondary Payer Questionnaire (MSPQ), scanning and document preparation, updating documentation and processing of referrals/order/appointment requests.Verifies referring physician orders against scheduled appointments for accuracy.
</li><li>The Patient Scheduling Specialist delivers expert knowledge and understanding of scheduling guidelines, patient registration, pre-certification requirements and basic levels of health insurance and billing procedures and regarding specific processes. Familiarity with insurance coverage types (HMO, PPO, VA, Medicare) The speciaist role models the health system values in all dialy interactions and inspire others to follow those estabslished values.
</li><li>Diligently and efficiently manages scheduling workload from assigned Appointment Request Workqueue (WQ), filters and prioritizes appointment requests per specialty standards keeping close communication with the providers and clinical team members to verify any change requests and ensure continuity of care.
</li><li>Is proficient, accurate and demonstrates attention to detail in all aspects of the job which includes scheduling, order entry and scanning capabilities, as well as coordination of all aspects of anesthesia studies.
</li><li>Communicate with Financial Advisor when the patient has concerns/questions about financial responsibility for appointments /treatments/procedures scheduled. Direct patients to call insurance provider for copay or benefits information or transfer callers to Financial Advisor for specific payment inquiries, including self pay plans.
</li><li>Trains new employees on department, POD, and clinic-specific operational protocols and workflows using approved materials and approaches.Uses training delivery methods per the curriculum plan including classroom content, on-the-job, and interactive hands- on exercises. Evaluates trainee progress using provided assessment tools. Provides feedback to management on trainee's progress.
</li><li>Schedules referral appointments for external offices, faxes/sends necessary referral and medical records to referred physician office utilizing specialty software modules such as Beacon, . . .
</li><li>Builds and maintains trusting relationships with provider and clinical team to providing holistic and patient centered scheduling services, while advocating for patient's needs (transportation, financial, logistical) and coordinating care appointments across multiple campuses.
</li><li>Depending on work location, may manage department Scheduling Inbasket and voicemails. Engages with patients in a in a timely manner; provides complete and accurate information to the patient regarding prep and other exam related notes.
</li><li>Responsible for checking out patients from clinic visit, providing options for receipt of after visit summary and support for EMR patient portal (EPIC MyChart) sign up.
</li><li>Handles calls as needed to ensure department meets service level goals. Identifies urgent customer needs or operational issues, and escalates appropriately.
</li><li>Provides courteous and timely reponse to scheduling requests via electronic patient communication/ interactions including MyChart messages and Artera text messaging platform.
</li><li>Conveys authenticity gaining the trust of others. Behaves consistently and acts in accordance with moral, ethical professional, and organizational guidelines. Displays unwavering credibility through trustworthiness, reliability, dependability, integrity, character reputation, and acceptability.
</li><li>Supports both front desk and scheduling (telephone and MyChart) workflows. Assist patient with MyChart activation and support, including how to complete check-in online prior to the appointment. Monitors daily call volume to assign staff based on fluctuations. Ensure proper front desk coverage and remains in clinic until last patient is checked out and any follow-up visits are scheduled.
</li><li>Demonstrates knowledge, adheres to, and educates others for the promotion of safety regulations, disaster plans, emergency response, infection control, fire safety, hazardous material policies and procedures.
</li><li>Post-Visit (Check-out/Follow Up Scheduling) Schedule follow up internal and external diagnostic and therapeutic orders creating a patient itinerary based on provider orders.
</li><li>May be expected to provide coverage at alternate locations to help meet critical staffing level needs, as delegated by management.
</li><li>Attends and actively participates in staff training or educational activities relating to job role. Attends and participates in department clinic daily huddles and process improvement initiatives.

</b></h2>The Patient Service Representative Lead is responsible for supporting the supervisor. This work role requires thorough knowledge of all job functions and serves as a resource to train other employees in collaboration with the supervisor/manager.

Patient Service Representatives (PSR) are important members of the physician's care team and critical for creating a pleasant and seamless patient experience within an ambulatory clinic. They are responsible for front desk operations including greeting and checking in customers and visitors, answering calls, copay collection, completing MyChart and EMR (Electronic Medical Record) appointment requests, processing external medical records and helping the physician care team prepare for their daily patient appointments. They may assist with checking patients out and scheduling follow up activities as needed.

</li><li>Pre-Visit Scheduling Schedule internal and external incoming department referrals
</li><li>Schedules in person appointments, telehealth visits, surgeries, procedures and/or ancillary services using Epic Cadence decision trees.
</li><li>Maintains extensive knowledge of appointment types, locations, providers, and specialties.
</li><li>Works to achieve a coordinated patient itinerary sometimes consisting of multiple appointments.
</li><li>Responsible for registration of patient during the scheduling process, including entering demographics, insurance verification, completing the Medicare Secondary Payer Questionnaire (MSPQ), scanning and document preparation, updating documentation and processing of referrals/order/appointment requests.
</li><li>Preauthorization of clinic specific visits and procedures as needed.
</li><li>Assist patient with MyChart activation and support, including how to complete check-in online prior to the appointment.
</li><li>During Visit Standard Check-In Responsible for high volume patient clinic check in/out and phone reception &ndash; following health system standards.
</li><li>Secures patient signatures for consent and financial forms.
</li><li>Follows and completes all standard registration documentation and scanning process in the Health System EMR
</li><li>Responsible for collecting all point of service collections due per the EMR generated patient estimate including copay, co-insurance, and deductibles.
</li><li>Assist patient with MyChart activation and support.
</li><li>Responsible for outpatient clinic direct rooming
</li><li>Responsible for supporting patient through self-check-in utilizing MyChart and the EMR
</li><li>Post-Visit (Check-out/Follow Up Scheduling) Schedule follow up internal and external diagnostic and therapeutic orders creating a patient itinerary based on provider orders.
</li><li>Assist patient with MyChart activation and support.
</li><li>Ensure proper front desk coverage until last patient is dismissed from the clinic.
</li><li>Standard Responsibilities Attends and participates in department clinic daily huddles and process improvement initiatives.
</li><li>Understands patient experience performance expectations for ease of scheduling appointment, degree to which you were informed of delays, likelihood to recommend practice, courtesy of front desk and staff worked together for your care.
</li><li>Supports both front desk and scheduling (telephone and MyChart) workflows.
</li><li>Establishes and maintains productive working relationships with providers and the clinical care team.
</li><li>Has a working knowledge of patient related policies and procedures as well as an understanding of the University of Kansas Health System services and programs.
</li><li>Follows the Health System standard apparel policy.
</li><li>Effectively communicates Health System policies to patients and patient advocates.
</li><li>Familiarity with insurance coverage types (HMO, PPO, VA, Medicare)
</li><li>Expected to provide coverage at alternate locations to help meet critical staffing level needs, as delegated by management.
</li><li>Supports and participates in patient experience initiatives including marking campaigns and event registration.
</li><li>Responsible for daily maintenance of workspace and following environmental health cleaning guidelines according to Health System policy and procedures.
</li><li>Responsible for following personal protective equipment (PPE) guidelines according to Health System policy and procedures.
</li><li>Expected to complete necessary training and successfully pas 30-60-90-day quality assessments.
</li><li>Remains in clinic until last patient is checked out and any follow-up visits are scheduled.
