Job Overview We are seeking an energetic and highly organized Secretary/Receptionist to be the welcoming face of our office. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. Your positive attitude and strong organizational skills will help create a professional and friendly environment for clients, visitors, and team members alike.Responsibilities<ul><li>Greet visitors and clients warmly, providing excellent customer service and assistance.</li><li>Manage multi-line phone systems, directing calls accurately and professionally.</li><li>Handle all front desk duties, including check-ins, appointment scheduling, and visitor sign-ins.</li><li>Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy.</li><li>Support office management tasks such as calendar management, scheduling meetings, and coordinating appointments.</li><li>Utilize computer skills with proficiency in Microsoft Office, Google Workspace, QuickBooks, and other office software to prepare reports and correspondence.</li><li>Perform clerical duties including typing, photocopying, faxing, mailing, and maintaining office supplies inventory.</li></ul>Requirements<ul><li>Proven office experience with strong clerical skills and familiarity with front desk operations.</li><li>Excellent phone etiquette with experience managing multi-line phone systems.</li><li>Bilingual abilities are highly preferred to assist diverse client needs.</li><li>Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and basic bookkeeping tools like QuickBooks.</li><li>Demonstrated data entry accuracy along with proofreading skills for professional correspondence.</li><li>Experience in customer support roles with a focus on delivering exceptional service.</li><li>Knowledge of office management procedures such as filing systems, calendar management, and time management techniques.</li><li>Personal assistant or administrative experience is a plus to support executive needs efficiently.
