This paid position offers an exciting opportunity to develop your administrative expertise in a dynamic environment.Duties<ul><li>Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring a positive first impression. </li><li>Manage multi-line phone systems, directing calls accurately and courteously while maintaining phone etiquette. </li><li>Handle incoming correspondence, including emails and mail, and distribute them appropriately. </li><li>Maintain organized filing systems, data entry records, and ensure accurate documentation through proofreading and attention to detail. </li><li>Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings. </li><li>Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping. </li><li>Provide customer support by addressing inquiries promptly and efficiently while maintaining excellent customer service standards.</li></ul>Qualifications<ul><li>Proven experience in office administration, clerical work, or as a receptionist is preferred. </li><li>Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools. </li><li>Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. </li><li>Bilingual abilities are a plus to serve diverse client needs better. </li><li>Experience with office management systems such as multi-line phone systems and calendar software is highly desirable. </li><li>Demonstrated customer service excellence with professional phone etiquette and interpersonal skills. </li><li>Familiarity with medical or dental receptionist duties, including appointment scheduling and patient record management, is advantageous. </li><li>Ability to perform data entry accurately, proofread documents meticulously, and handle filing responsibilities diligently.
