Position summary: 
The Receptionist position is responsible for performing clerical tasks to support daily operations. Duties include answering and transferring phone calls, sorting and delivering mail, greeting visitors, and providing administrative support to the practice. The Receptionist reports to and is employed by Clearwater Financial Group. This position is an in-office role working Monday &ndash; Friday 9 a.m. to 5 p.m. in the Billings office. Compensation is $40,000-50,000 annually dependent upon experience. No medical or dental benefits provided.
Job Description
Position Roles/Responsibilities/Accountabilities<ul><li>
Support the lead advisors with variety of functions and tasks</li><li>
Interface with clients to coordinate meetings, mailings, and other communications</li><li>
Greet clients and visitors when they arrive</li><li>
Answer all incoming calls and disperse them and any messages appropriately</li><li>
Maintain client correspondence including compliance and marketing mailings</li><li>
Schedule all meetings and provide driving directions</li><li>
Maintain the Lead Advisor&rsquo;s calendar</li><li>
Update CRM systems as needed</li><li>
Maintain internal mailing lists, birthday card lists, and monthly calling lists</li><li>
Maintain physical or electronic files</li><li>
Send and prepare Docusign documents as requested by advisors</li></ul>
Position Qualifications<ul><li>
Previous experience working as a receptionist in a professional service firm desired</li><li>
Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learn</li><li>
Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions</li></ul>

Position Summary: 
This position provides administrative support to our Lead Advisors. This role is critical to our member experience and requires a friendly, upbeat demeanor. The role supports daily operations of the practice, including, but not limited to answering the phones, meeting/greeting members, assisting in coordination of client events for the Ann Arbor, MI office, utilizing proprietary software in support of client relations, and other administrative tasks as assigned. Oversee the snow removal vendor to ensure safety of clients during the winter</li></ul></li><li>

Assist in scheduling meetings with clients on behalf of the practice&rsquo;s Advisors</li><li>
Interface with contacts to coordinate mailings, gifts and other communications</li><li>
Perform routine administrative duties such as maintaining office supplies, processing mail, filing and disclosure delivery</li><li>
Update contact management system with client contact and preference information</li><li>
Assist in preparing file folders for client meetings</li><li>
Support Administration Department in obtaining any needs for new business</li><li>
Provide back-up support on tasks that do not require any type of licensing or registration for other staff members, as needed</li><li>
Keep sales team on track and assist with meeting support</li><li>
Additional responsibilities may be assigned in accordance with business needs</li></ul>
