LOCATION: Duxbury Police HQ, 155 Mayflower Street, Duxbury MA
REPORTS TO: Investigations Commander
STATUS: FLSA non-exempt, full-time, benefit eligible
RATE: Personnel Policies, Grade 4, range of $26.75 - $36.12 per hour
WORK SCHEDULE: Monday-Friday, 37.5 hours per week
Statement of Duties: The Prosecution Assistant performs administrative, clerical services in support of the operation of the Police department. Employee is required to perform all similar or related duties.
Supervision Required: Under general supervision of the Investigations Commander, the employee is familiar with the work routine and uses initiative in carrying out recurring assignments independently with specific instruction. The supervisor provides additional, specific instruction for new, difficult or unusual assignments, including suggested work methods. The employee is expected to recognize instances which are out of the ordinary and which do not fall within existing instructions; the employee is then expected to seek advice and further instructions. Reviews and checks of the employee&rsquo;s work are applied to an extent sufficient to keep the supervisor aware of progress, and to insure that completed work and methods used are technically accurate and that instructions are being followed. In many cases, the work is self-checking, for example, requiring accounts to balance before proceeding.
Supervisory Responsibility: Employee, as a regular and continuing part of the job is not required to supervise any other department employees.
 Confidentiality: Employee has access to confidential information obtained during performance of regular position responsibilities in accordance with the State Public Records Law such as criminal records.
Accountability: Consequences of errors, missed deadlines or poor judgment may include adverse public relations, monetary loss, legal repercussions, jeopardize programs.
Judgment: Numerous standardized practices, procedures, or general instructions govern the work and in some cases, may require additional interpretation. Judgment is needed to locate, select, and apply the most pertinent practice, procedure, regulation, or guideline.
Complexity: The work consists of a variety of duties which generally follow standardized practices, procedures, regulations or guidelines. The sequence of work and/or the procedures followed vary according to the nature of the transaction and/or the information involved, or sought, in a particular situation.
Work Environment: The work environment involves everyday discomforts typical of office setting. Noise or physical surroundings may be distracting, but conditions are generally not unpleasant.
Nature and Purpose of Public Contact: Relationships with co-workers and the public involving frequent explanation, discussion or interpretation of practices, procedures, regulations or guidelines in order to render service, plan or coordinate work efforts, or resolve operating problems. Other regular contacts are with service recipients and employees of outside organizations such as attorneys or employees of other law enforcement agencies. More than ordinary courtesy, tact, and diplomacy may be required to resolve complaints or deal with uncooperative or uninformed persons.
Occupational Risk: Duties of the job present little potential for injury. Risk exposure is similar to that found in typical office settings.

Coordinates court cases, folders, posts court dates on the Court calendar and supplies District Attorney&rsquo;s Office and DCF any requested information for cases.</li></ul>
<ul><li>Copies all reports and forms and files needed for court cases.</li></ul>
<ul><li>Enters motor vehicle, municipal, parking, and by-law citations, collects payments to tally, record, and submit accordingly.</li></ul>
<ul><li>Enters motor vehicle citations into the department&rsquo;s computer software system and sends information to the State Registrar of Motor Vehicles.</li></ul>
<ul><li>Assists in the preparation of applications for complaints, summons and defendant witness statements.</li></ul>
<ul><li>Responsible for preparing all records requests via phone, email, fax, or walk-in under general supervision of the Records Access Officer and providing these requests in a timely manner.</li></ul>
<ul><li>Retrieves information from organizations for court cases.</li></ul>
<ul><li>Prints and updates monthly report containing all court transactions for review by the Chief of Police and Officer&rsquo;s as requested.</li></ul>
<ul><li>Prepares and processes police detail payment invoices and processes shift detail payroll payments</li></ul>
<ul><li>Tallies and records Safety Officer&rsquo;s insurance deposits.</li></ul>
<ul><li>Sorts, files and sends Motor Vehicle Accident reports to the Registry of Motor Vehicles.</li></ul>
<ul><li>Records all FID applications and licenses required to carry firearms.</li></ul>
<ul><li>Tallies and records all FID&rsquo;s and license fee payments and deposits to Town Hall.</li></ul>
<ul><li>Performs all the duties of the Executive Assistant to the Police Chief in their absence.</li></ul>
<ul><li>Performs other duties and projects as assigned.</li></ul>
</div>Recommended Minimum Qualifications:
Education and Experience: High School degree or equivalent with one to three (1-3) years related work experience; or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.

Knowledge, Abilities and Skill
Knowledge: Common policies, practices and procedures of the department and office operations; laws and regulations pertinent to position functions. Working knowledge of personal computers and office software (i.e. word processing and spread sheet applications) in support of department operations.
Abilities: Ability to interact effectively and appropriately with the public and other personnel; ability to perform multiple tasks and maintain confidential information.
Skills: Proficient personal computer skills, mathematical skills, recordkeeping and clerical skills, written and oral communication skills. Effective organization skills.

1. Nature of Work: The purpose of this position is to provide paraprofessional support to professional library staff through the performance of varied duties and tasks. Performs professional level duties requiring a thorough knowledge of library procedures, library organization, and department operations. Must exercise judgment and initiative to perform duties; must be able to work independently and as part of a team.
2. Supervision Received: Works under the direct supervision of the library division head and under the general supervision of the library director. The employee carries out the regular work in accordance with standard practices and previous training. Work is generally reviewed only for technical accuracy, appropriateness of actions or decisions, and conformance with policy or other requirements.
3. Supervision Given: May direct library pages and library volunteers and may act as supervisor of a shift, if so directed, of if no professional staff is available. May train other staff members.
4. Confidentiality: Employee has access to confidential information of the department. Confidentiality must be maintained with regard to this information in accordance with Departmental Policy and the Public Records Act.
5. Accountability: Consequences or errors, missed deadlines or poor judgment may include adverse public relations, monetary loss and delay or loss of library services.
 6. Judgment: The work requires examining, analyzing and evaluating facts and circumstances and determining actions to be taken within the limits of standard or accepted practices. Guidelines include a large body of policies, practices, and precedents. Employee is expected to weigh efficiency and relative priorities in performing work assignments.
7. Complexity: The work consists of the practical application of assignments in gathering, analyzing and evaluating facts or data; or determining the methods to accomplish the work.
8. Nature and Purpose of Public Contact: Employee interacts with co-workers, and the public to explain department procedures or guidelines. Excellent customer service skills are required involving courtesy, tact, and diplomacy in resolving complaints or concerns with patrons of the library.
9. Recommended Minimum Qualifications:
Minimum Education and Experience: Bachelor&rsquo;s Degree preferred, related education and experience considered.
10. Knowledge, Abilities and Skill
Knowledge: General knowledge of public library services. 
Abilities: Ability to communicate effectively, both orally and in writing. Ability to deal with the general public and staff members in a pleasant and tactful manner. Ability to learn and undertake new procedures.
 Skill: Excellent computer keyboarding and mouse skills. Excellent inter-personal and good computer skills.
