POSITION SUMMARY:
The Property Administrator is responsible for working directly with the Property Manager in performing clerical and administrative assignments for the assigned properties/projects.
It is the responsibility of the Property Administrator not only to exhibit legendary customer service when communicating with tenants, prospective tenants, owners, and vendors but to focus on productivity and results.
ESSENTIAL JOB FUNCTIONS:<ul><li>
Provide full administrative support including phone support, typing, reports, filing and distribution of correspondence.</li><li>
Schedule and coordinate meetings/special events as requested.</li><li>
Assist in lease administration activities including lease set up, administer lease changes, generate reports, etc.</li><li>
Prepare and coordinate bid proposals and service contracts and approved invoices.</li><li>
Maintain lease and property files.</li><li>
Track and file HVAC contracts and insurance certificates. Maintain follow-up system for expiration.</li><li>
Assist with monthly and quarterly management reports as well as annual budget preparation.</li><li>
Transcribe contracts, leases, proposals, addendums, side letters, exhibits, correspondence, etc.</li><li>
Prepare financial spreadsheets.</li><li>
Order and maintain adequate stock of office supplies.</li><li>
Greet tenants, prospective tenants, vendors, and guest.</li><li>
Notify participants of meetings, and their responsibilities and any changes in plans or schedules.</li><li>
Order tenant door plaques and directory strips; maintain property signage.</li><li>
Prepare and distribute tenant move-in packages; order tenant gifts as needed.</li><li>
Maintain parking/building access card records.</li><li>
Invoice tenant rebills (meter readings, HVAC, etc.).</li><li>
Maintain tenant contact, vendor contact list, and insurance information.</li><li>
Promote and foster positive relationships with tenants and owners.</li><li>
Additional duties assigned by the Property Manager.</li></ul>
POSITION REQUIREMENTS:<ul><li>
A high school diploma or GED equivalent (college courses preferred).</li><li>
At least 0-2 years of clerical, administrative duties (real estate experience is a plus).</li><li>
Must have intermediate to advanced MS 365 Word, Excel and Outlook proficiencies.</li><li>
Argus, accounting software such as MRI or Skyline proficiency preferred.</li><li>
Ability to keep information strictly confidential.</li><li>
Strong desire to succeed in an entrepreneurial environment.</li><li>
Must be able to handle multiple projects, changing priorities and a continually heavy workload.</li><li>
Exceptional oral and written communication skills.</li><li>
Strong customer service orientation.</li></ul>

The Senior Property Manager is responsible for all aspects of managing a commercial building &ndash; from operations and financial activities to managing important relationships with our tenants, property owners and vendors. The Senior Property Manager will oversee tenant improvements and service contracts, supervise the completion of property inspections and work with ownership to implement any recommended developments.

POSITION ESSENTIAL FUNCTIONS<ul><li>
Professionally represent TW while adhering to the terms and conditions of the management agreement.</li><li>
Ensure compliance with Property Management Policies and Procedures, codes, regulations, and governmental agency directives.</li><li>
Provide management and leadership to property staff, including hiring and performance management.</li><li>
Develop comprehensive annual inspection process for properties; complete weekly, monthly, quarterly, annual inspections as required for a specific asset, TW&rsquo;s best practices, and/or client requirements.</li><li>
Develop operating and capital budgets, track variances, oversee the completion of CAM reconciliations, and ensure smooth recovery process.</li><li>
Bid, negotiate, and manage conformity with vendor contracts in accordance with TW and the client&rsquo;s procurement contract requirements.</li><li>
Maintain interface with third-party owners and accounting team to ensure total contract compliance, including preparation of accurate and timely reporting.</li><li>
Coordinate and oversee all tenant and building construction work to ensure timely and accurate completion of all construction work at property on behalf of client.</li><li>
Participate in leasing and client team meetings and ensure effective communication between leasing and property management team members in order to achieve client&rsquo;s goals and objectives.</li><li>
Provide and foster positive relationships with tenants, external clients, and internal clients.</li><li>
Represent and communicate clearly and accurately, in person, over the phone, and in writing the authority of the property manager based on legal agreements in effect and TW policies.</li><li>
Coordinate training and development activities for team members.</li><li>
Foster relationships with BOMA/local CRE members to maintain awareness of competitor activity and/new business development opportunities.</li><li>
Additional duties or projects as assigned by Senior Leadership and the Client/Ownership.</li></ul>
POSITION REQUIREMENTS
Education:
<ul><li>A bachelor&rsquo;s degree in Business Management, Finance, Accounting, or related discipline.</li><li>
State Real Estate license required.</li><li>
CPM and/or RPA designations or in progress.</li></ul>
Experience:<ul><li>
A minimum 7 years of property management experience, preferably in commercial /Class A Office management.</li><li>
Must have at least 3 years of experience managing people; specifically, a staff of three (3) or more.</li></ul>
Technical Skills:<ul><li>
Must have intermediate to advanced Microsoft 365 Word, and Excel proficiencies.</li><li>
Microsoft Outlook, Angus, Accounting Software such as MRI, Yardi or CTI proficiency preferred.</li><li>
Strong understanding of financial reports, including variance of actual vs. budget numbers.</li></ul>
Personal Skills:<ul><li>
