Overview We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in providing support to our office operations, ensuring smooth communication and efficient workflow. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and a solid understanding of office management practices. This position requires someone who is comfortable working in a fast-paced environment and can handle multiple tasks simultaneously.Duties<ul><li>Manage front desk operations, including greeting visitors and handling inquiries.</li><li>Operate multi-line phone systems to manage incoming calls professionally.</li><li>Perform data entry tasks accurately and efficiently.</li><li>Maintain organized filing systems for easy access to documents.</li><li>Assist with calendar management, scheduling appointments, and coordinating meetings.</li><li>Provide customer support by addressing client needs and resolving issues promptly.</li><li>Utilize Auto/Mate and other software systems</li><li>Prepare documents, reports, and presentations using Microsoft Office</li><li>Conduct proofreading of internal communications and documents to ensure accuracy.</li><li>Support the team with clerical duties such as typing, filing, and organizing office supplies.</li><li>Maintain confidentiality of sensitive information while managing administrative tasks.</li></ul>Skills<ul><li>Experience in a Collision Center or automotive industry preferred</li><li>Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)</li><li>Strong computer literacy with the ability to learn new software quickly.</li><li>Excellent organizational skills with a keen attention to detail.</li><li>Effective time management abilities to prioritize tasks efficiently.</li><li>Bilingual capabilities are a plus for enhancing communication with diverse clients.</li><li>Previous experience in office management or administrative roles is preferred.</li><li>Strong phone etiquette and customer service skills to create a welcoming environment.</li><li>Personal assistant experience is valued for managing executive schedules effectively.
