BackgroundThe Office of U.S. Representative Greg Stanton seeks an experienced Scheduler / Executive Assistant for the Washington, D.C. office in a full-time capacity. After the application period closes, the office will contact the best-qualified candidates selected to begin the interview process.Job ExpectationsThe Scheduler / Executive Assistant will work closely with the Chief of Staff and senior staff to coordinate the Member&rsquo;s schedule and arrange travel plans. The Scheduler / Executive Assistant will act as the Member&rsquo;s liaison with other congressional offices, constituents, government officials, community leaders, nonprofit organizations, private-sector representatives, and other stakeholders. The Scheduler / Executive Assistant also manages the internship program for the Member&rsquo;s office.Job Duties<ul><li>Collaborates with the Member, Chief of Staff, and senior staff to determine and finalize the Member&rsquo;s daily schedule and briefing materials</li><li>Uses relevant technologies to track the scheduling activities and requests of the Washington, D.C., and District offices to brief the Member</li><li>Acts as a liaison between the Member and other Members, committee staff, White House, government offices, and government agencies to arrange the Member's attendance at meetings</li><li>Coordinates with event participants and the appropriate legislative and/or District staff to ensure that the Member is provided with briefing materials for each event</li><li>Monitors the Member's incoming telephone calls, takes messages, and returns calls as requested to act as the Member's liaison with other congressional offices, constituents, or other stakeholders</li><li>Partners with the communications team and District office staff to schedule press interviews, including radio, television, and other media appearances</li><li>Coordinates photo opportunities with constituents to maintain outstanding constituent relations</li><li>Plans and books the Member's air travel, ground transportation, and lodging to coordinate travel arrangements</li><li>Reviews the Member's mail and invitations to ensure all are responded to, either by written correspondence or a personal telephone call</li><li>Maintains files to monitor which of the Member's invitations have been declined, accepted, or are tentative/pending</li><li>Prioritizes tasks based on the situational context to ensure work is completed in an efficient and effective manner</li><li>Prepares detailed itineraries for the Member, including important numbers, locations, and contact names to coordinate the Member's schedule</li><li>Manages all aspects of the internship program for the Member office in accordance with office policies and procedures</li></ul>Qualifications and Skills<ul><li>Adaptability: Adapts quickly to change or unexpected obstacles; easily considers new approaches.</li><li>Attention to Detail: Performs work thoroughly and accurately; acts conscientiously when attending to detail.</li><li>Decision Making: Makes sound, well-informed, and objective decisions; understands the impact and implications of decisions.
