Below is a detailed list of the duties and responsibilities that are commonly associated with this role:Administrative Duties:<ul><li>Office Management:</li><li>Manage day-to-day office operations, including organizing and maintaining office supplies and equipment.</li><li>Ensure the office environment is safe, clean, and well-organized.</li><li>Coordinate office space allocation and supervise office maintenance.</li><li>Handle communication (phone calls, emails, and letters) and direct inquiries to appropriate departments.</li><li>Scheduling &amp; Coordination:</li><li>Organize and schedule meetings, conferences, and travel arrangements for executives and staff.</li><li>Coordinate and prepare agendas, documents, and presentations for meetings.</li><li>Ensure the proper functioning of office systems and technology.</li><li>Documentation &amp; Record Keeping:</li><li>Maintain and update physical and electronic filing systems.</li><li>Prepare and organize reports, documents, and presentations.</li><li>Ensure compliance with organizational policies regarding document retention and data protection.</li><li>Health &amp; Safety Compliance:</li><li>Monitor office environment to ensure compliance with safety regulations.</li><li>Coordinate fire drills and emergency preparedness procedures.</li><li>Inventory Management:</li><li>Oversee and manage office supplies, ensuring that inventory is stocked and organized.</li><li>Handle orders for office supplies and equipment.</li></ul>Human Resources Duties:<ul><li>Recruitment &amp; Onboarding:</li><li>Assist in the recruitment process, including preparing job descriptions, posting job ads, screening resumes, and scheduling interviews.</li><li>Coordinate new employee onboarding, including orientation, training, and ensuring that employees have the necessary tools and resources.</li><li>Employee Relations:</li><li>Serve as a point of contact for employees regarding HR-related matters, including queries about policies, benefits, and workplace issues.</li><li>Mediate and resolve conflicts between employees and management.</li><li>Foster a positive work environment and help promote employee engagement.</li><li>Payroll &amp; Benefits Administration:</li><li>Assist with payroll processing, ensuring accuracy and timely distribution of employee wages.</li><li>Administer employee benefits programs, such as health insurance, retirement plans, and leave policies.</li><li>Ensure proper documentation for payroll and benefits is completed accurately.</li><li>Compliance &amp; Policy Enforcement:</li><li>Ensure the organization complies with labor laws and other regulations related to HR practices.</li><li>Update and maintain employee handbooks, policies, and procedures.</li><li>Track employee attendance, leaves, and ensure proper documentation for absences.</li><li>Performance Management:</li><li>Assist in managing employee performance reviews, feedback, and goal setting.</li><li>Support managers in addressing performance issues and promoting employee development.</li><li>Training &amp; Development:</li><li>Organize training sessions, workshops, and other development programs for staff.</li><li>Track employee development and help identify opportunities for growth within the organization.</li><li>HR Documentation &amp; Reporting:</li><li>Maintain accurate employee records, including personal details, contracts, and performance evaluations.</li><li>Prepare regular HR reports on staffing, turnover, and other relevant metrics.</li><li>Leave Management:</li><li>Track and manage employee leave requests, including sick leave, vacation, and other time off.</li><li>Ensure proper documentation for leave policies and ensure compliance with local labor laws.</li></ul>General Responsibilities:<ul><li>Communication &amp; Collaboration:</li><li>Collaborate with other departments to ensure smooth communication and coordination.</li><li>Support senior management in planning and decision-making processes.</li><li>Problem-Solving &amp; Troubleshooting:</li><li>Address day-to-day administrative and HR issues as they arise, finding solutions to maintain workflow and employee satisfaction.</li><li>Confidentiality &amp; Ethics:</li><li>Maintain confidentiality of sensitive employee and organizational information.</li><li>Ensure ethical conduct in all HR and administrative activities.</li></ul>Job Type: Full-timePay: AED2,500.00 - AED3,000.00 per monthEducation:<ul><li>Bachelor's (Preferred)</li></ul>Experience:<ul><li>HR/ADMIN: 5 years (Preferred)</li></ul>License/Certification:<ul><li>Diploma/certificates attested from MOFA?
