Job Purpose
The Project Finance Coordinator is responsible for supporting the financial management and commercial control of client projects across the business. 
 
Working closely with the Finance Director, Client Services and Event Delivery teams, the role ensures accurate project financial administration, budget management, forecasting, reporting and reconciliation throughout the project lifecycle. The role acts as a key link between project delivery and finance, helping to maintain financial visibility, support project profitability and ensure compliance with company processes and controls. 
 
Key Responsibilities<ul><li>
Maintain the accuracy, completeness and compliance of project financial data within Procim, conducting regular financial health checks and audits throughout the project lifecycle.</li><li>
Manage project financial administration, ensuring project records, financial milestones, documentation and audit trails are maintained in accordance with company procedures and controls.</li><li>
Monitor project budgets, committed costs and actual expenditure, identifying, investigating and escalating variances, risks and discrepancies as appropriate.</li><li>
Provide financial oversight across all stages of project delivery to ensure budgets, supplier costs, purchase orders, billing schedules and financial records remain accurate and aligned.</li><li>
Review and manage budget revisions, cost reallocations and financial changes, ensuring impacts on profitability, forecasting and project performance are accurately reflected.</li><li>
Partner with project teams to support commercial decision-making, financial visibility and project profitability.</li><li>
Support the management of purchase orders, supplier invoices and payment requests, ensuring appropriate approvals, supporting documentation and timely processing.</li><li>
Ensure supplier costs and project expenditure are accurately allocated and recorded against the correct projects.</li><li>
Maintain and monitor project billing schedules, ensuring billing milestones are aligned to project delivery timelines and highlighting any revenue or cash flow risks.</li><li>
Track, record and support the timely billing of commission income, maintaining visibility of outstanding revenue and resolving discrepancies.</li><li>
Lead project financial close-out activities, ensuring project costs, revenue, commissions, time charges, supplier commitments and billing are fully reconciled prior to closure.</li><li>
Produce regular financial reports, dashboards, forecasts and variance analyses to support business performance and project decision-making.</li><li>
Analyse project profitability, utilisation and financial performance data, providing insights and recommendations where appropriate.</li><li>
Monitor timesheet and expense submissions, ensuring accuracy, completeness and timely completion to support project costing and reporting.</li><li>
Act as a key finance contact for Client Services, Venue Finding, Production and Event Delivery teams, providing guidance on project finance processes and best practice.</li><li>
Build effective relationships across departments to support financial accuracy, compliance and continuous improvement of systems, reporting and ways of working.</li><li>
Ensure compliance with internal financial controls, approval processes, audit requirements, VAT regulations, statutory obligations and relevant data management requirements.</li><li>
Support internal and external audits and ensure all financial documentation is appropriately stored, maintained and accessible.</li></ul>
Skills, Experience &amp; Competencies
Essential<ul><li>
Finance &amp; Commercial Knowledge</li><li>
Previous experience in project finance, finance administration, project accounting or a similar finance role.</li><li>
Strong understanding of budgeting, forecasting and financial reporting.</li><li>
Experience managing multiple project budgets simultaneously.</li><li>
Knowledge of financial controls, approval processes and VAT requirements.</li><li>
Experience working with multi-currency budgets and supplier payments.</li></ul>
Systems &amp; Reporting<ul><li>
Experience using Procim</li><li>
Advanced Microsoft Excel skills including Pivot Tables, XLOOKUP/VLOOKUP and financial reporting.</li><li>
Experience using finance, ERP or project management systems.</li><li>
Ability to analyse financial data and identify trends, risks and discrepancies.</li><li>
Excellent attention to detail and numerical accuracy.</li></ul>

Additional Information 
Salary: &pound;40,000 - &pound;44,000 
Hours: 37.5 hours per week 
Location: Bromley, Greater London (office-based / hybrid - 1 or 2 days in office per week)

Job Purpose
As an Events Project Coordinator, your role is crucial in ensuring the seamless execution of a diverse range of events, from conception to completion. You will primarily focus on intricate logistical coordinator, efficient event management, and strategic transportation planning. Collaborating closely with the Production team, your efforts will contribute significantly to the flawless delivery of events, spanning from intimate expos to expansive exhibitions. Additionally, your commitment to nurturing client relationships will play a pivotal part in fostering repeat business opportunities. 
 
In this role, you will work together with the events team to meticulously organize and manage events of varying sizes, ensuring every detail aligns with the overarching vision and objectives. Your responsibilities encompass executing end-to-end event management tasks, such as scheduling, coordinating vendors, allocating resources and overseeing on-site operations to ensure events unfold seamlessly. 
 
Key Responsibilities 
 
Event Logistics &amp; Support<ul><li>
Supporting on OrangeDoor events, exhibitions and conferences</li><li>
Creating and updating the Project Master and Playbook documents</li><li>
Creating POs for purchases within our finance system</li><li>
Updating budget lines</li><li>
Arranging project internal and external WIP calls</li><li>
Internal emails and general admin including timesheets</li><li>
Handling all shipments and deliveries for events</li><li>
Incentives/Giveaways: Researching and sourcing based on briefs, PPT ideas for client, logistics of fulfilling and shipping</li><li>
Incentives: working with the events team to research into entertainment/activities for events</li><li>
Contributing to client proposals based on briefs</li><li>
Attending events to support event teams</li><li>
Team event calendar is updated based on new live jobs on the NB WIP</li><li>
Team admin as required</li></ul>
Equipment Logistics<ul><li>
Sending and receiving event equipment to and from events with preferred suppliers</li><li>
Liaising with courier services to ensure kit arrives at storage ready for shipment to events and expos</li><li>
Securely packaging kit before sending out so that damages are prevented</li></ul>

Qualifications<ul><li>
Events degree or equivalent industry experience</li><li>
Experience with exhibitions</li><li>
Fully literate in Microsoft Word, Excel and Outlook</li><li>
