JOB SUMMARY
The Purchasing Manager will oversee all aspects of the procurement process, from identifying reliable suppliers to negotiating contracts and managing inventory levels. This role requires strong negotiation skills, attention to detail, and the ability to optimize procurement processes to achieve cost savings and operational efficiency.
Key Responsibilities:
Strategic Sourcing:<ul><li>
Identify, evaluate, and select suppliers based on quality, cost, reliability, and performance.</li><li>
Develop and maintain strong relationships with key suppliers to ensure a stable and efficient supply chain.</li></ul>
Contract Negotiation:<ul><li>
Negotiate favorable terms, conditions, and pricing with suppliers to achieve cost savings and favorable contract terms.</li><li>
Review and manage supplier contracts, ensuring compliance with company policies and legal requirements.</li></ul>
Vendor Management:<ul><li>
Collaborate with vendors to improve performance, resolve issues, and ensure on-time delivery.</li><li>
Monitor and evaluate supplier performance against agreed-upon key performance indicators (KPIs).</li></ul>
Inventory Management: 
<ul><li>
Oversee inventory levels to maintain optimal stock levels while minimizing carrying costs.</li><li>
Implement inventory control measures and strategies to prevent shortages and excess stock.</li></ul>
Cost Analysis:<ul><li>
Conduct cost analysis to identify areas for cost reduction and process improvement.</li><li>
Monitor market trends and industry changes to make informed purchasing decisions.</li></ul>
Compliance and Risk Management:<ul><li>
Ensure compliance with company policies, industry regulations, and ethical standards.</li><li>
Identify and mitigate risks in the supply chain to ensure business continuity.</li></ul>
Requirements:

Qualifications:
Associate or bachelor&rsquo;s degree in business, Supply Chain Management, or a related field (master&rsquo;s degree preferred).
7 plus years of proven experience in procurement and vendor management.
Strong negotiation skills and the ability to build and maintain effective supplier relationships.
Knowledge of procurement regulations, contract law, and industry best practices.
Proficiency in using procurement and inventory management software.
Additional Requirements:
Excellent communication and interpersonal skills.
Strong analytical and problem-solving abilities.
Proven ability to work collaboratively with cross-functional teams.
Certification in supply chain management or purchasing (e.g., CSCP, CPSM) is a plus.
Physical Requirements:
Job duties performed primarily in an office environment. Ability to remain in a stationary position for 70% of the time, lift or transport items up to 30lbs, walk short distances, bending, stooping, twisting, reaching above and/or below shoulder. May occasionally work out in the field and must be able to work in an outdoor environment with changing temperature.</div>

Key Responsibilities:
Procurement &amp; Vendor Management<ul><li>Create and manage purchase orders (POs); monitor open items, long-outstanding POs, and delayed deliveries.</li><li>Support accounts payable with PO/invoice/receiving (3-way) match confirmations.</li><li>Assist with bid collection, vendor selection, and contract coordination for operations and purchasing.</li></ul>
Receiving Oversight<ul><li>Lead and support receiving personnel in the correct documentation of goods received.</li><li>Serve as backup for receiving functions as needed.</li><li>Ensure vendor paperwork is logged, submitted, and filed in a timely and accurate manner.</li></ul>
Financial &amp; Operational Reporting<ul><li>Maintain and update financial tracking spreadsheets in Excel.</li><li>Audit Dropbox folders to ensure vendor contracts and certificates of insurance (COIs) are properly stored and updated for the Preferred Vendor List.</li></ul>
Inventory &amp; Supply Coordination<ul><li>Maintain catalog systems for cleaning and office supplies. Oversee purchasing of these supplies.</li><li>Report monthly and quarterly chemical inventories for all plant locations.</li></ul>
Fleet &amp; Equipment Support<ul><li>Track GPS for company fleet; ensure all vehicles are insured and registered.</li><li>Review daily vehicle pre-inspection reports and notify management of maintenance needs.</li><li>Oversee rental equipment invoicing, project durations, and rate tracking.</li><li>Track owned equipment maintenance schedules, repairs, and damage reports.</li></ul>
Cross-Departmental Collaboration<ul><li>Coordinate with Operations, Regulatory, and Finance teams to support payment visibility, compliance reporting, and document management.</li><li>Sort incoming mail, invoices and deliver to the appropriate teams.</li><li>Assist with USPS, UPS, and FedEx as needed.</li><li>Other duties as assigned.</li></ul>
Requirements:

Education, Experience &amp; Skill Requirements<ul><li>
High school diploma or GED required.</li><li>
3&ndash;5 years of relevant experience in procurement, logistics, or operational support, ideally in manufacturing, industrial, or utilities environment.</li><li>
Strong understanding of PO systems, vendor communication, and invoice reconciliation processes3&ndash;5 years of relevant experience in procurement, logistics, or operational support, ideally in manufacturing, industrial, or utilities environment.</li><li>
Strong understanding of PO systems, vendor communication, and invoice reconciliation processes.</li><li>
 Proven experience with receiving audits and inventory processes, especially for month- and quarter-end close.</li><li>
Ability to work with cross-functional teams across Finance, AP, Operations, and Regulatory departments.</li><li>
Proficient in Microsoft Excel; capable of preparing reports, dashboards, and vendor analysis.</li><li>
 Familiarity with fleet tracking tools, equipment rental processes, and maintenance oversight.</li><li>
 Experience with Dropbox, NetSuite, and other enterprise systems.</li><li>
Strong organizational skills, attention to detail, and ability to manage shifting priorities independently.</li></ul></div>
