JOB SUMMARY
 Works under direction to assist with management of moderately complex administrative and/or business functions of department, division, or unit.
 The Department of Pediatrics is seeking a professional, proactive, and positive individual to join our team as a Senior Administrative Assistant II . This role works under direction to support the management of moderately complex administrative and business functions for the division, in close partnership with the Division’s Lead Administrator. The ideal candidate will demonstrate strong organizational skills, initiative, and sound business judgment to ensure operations run smoothly and efficiently.
 Key Responsibilities
 As a valued member of our team, you will provide comprehensive operational support to the division’s faculty, staff, and leadership. Responsibilities include:
 
Managing calendars and scheduling meetings.
 
Coordinating travel arrangements and processing related expenses.
 
Ordering supplies and maintaining inventory.
 
Assisting with the preparation of presentations and hosting virtual and in-person conferences/meetings.
 
Serving as the division time editor.
 
Managing faculty clinical schedules.
 
Performing other duties as assigned to support the division’s success.

JOB SUMMARY
 Reporting to the Managing Attorney in the Office of Legal Affairs, will work under limited supervision to provide legal counsel on business law and general legal issues, and favorably resolve disputes, claims and lawsuits (excluding medical risk management and healthcare regulatory matters) arising within an academic medical center. Assists internal clients in structuring contracts within legal constraints while striving to achieve business needs. Reviews and analyzes legal issues arising within University business areas including but not limited to Business Affairs, Real Estate, Facilities Management, Information Resources, Information Security, Technology Development, Sponsored Research, and Conflicts of Interest. Performs all functions of a legal professional employed as in-house counsel as directed by Legal Affairs leadership, including communications with internal clients and preparation of legal opinions, memoranda, documents, reports, and presentations.
 
Experience developing relationships with senior management and advising on complex business matters is preferred. Real estate law experience is preferred.

JOB DUTIES
 Advises the University in contractual negotiations and disputes. Areas of responsibility include but are not limited to real estate, intellectual property, construction law, research, and general contract matters. Assists internal clients in structuring contracts within legal constraints while striving to achieve business needs.
 Reviews and analyzes legal issues arising within University business areas including but not limited to Business Affairs, Real Estate, Facilities Management, Information Resources, Information Security, Technology Development, Sponsored Research, and Conflicts of Interest.
 Provides general legal support and advice regarding the University‿s proposed strategic initiatives.
 Manages claims and lawsuits (other than medical malpractice) filed against the institution and its employees, including pre-litigation investigation, document preservation and discovery practice, preparing for and attending depositions, motions practice, hearing preparation, mediation, trial preparation, and appeals; manages the University‿s response to contract disputes submitted to the State Office of Administrative Hearings pursuant to Texas Government Code Chapter 2260; assists the Office of General Counsel at UT System and the Office of the Attorney General in every aspect of lawsuits and administrative hearings; assists with the University‿s response to complaints, charges, audits or investigations from external state and federal agencies.
 Performs all functions of a legal professional employed as in-house counsel as directed by Legal Affairs leadership, including communications with internal clients and preparation of legal opinions, memoranda, documents, reports, and presentations.
 Assists with responses to subpoenas in federal and state court civil and criminal matters and subpoenas served by regulatory agencies.
 Advises on new and existing policy initiatives; drafts, reviews, revises and interprets institutional policies and procedures.
 Develops and provides training on a broad range of legal issues in areas such as policy, constitutional issues, contract negotiations, and compliance with federal and state laws and regulations. Interprets and advises internal clients on UT System policies and UT System Regents Rules.
 Processes pre-litigation tort claims involving the University in accordance with the Texas Tort Claims Act; coordinates the submission of insurance claims to insurers and collection of sums from either insurers or individuals for the repair of damage to University property.
 Serves on or advises institutional committees in areas such as conflicts of interest, research, policy, compliance, information security and data security.

Job Summary: 
As the Administrative Associate for the Operations team within the O’Donnell School of Public Health, this role will serve as the central point of contact for the school. In this role, you will provide administrative support to the Director of Operations and the Operations team, as well as the Director of Finance and the Finance team. In addition, this position will assist the Communications Coordinator by gathering content for the school’s newsletter and digital signage, supporting social media efforts, and contributing to other communications projects as needed. Additionally, this role will support the Human Resources and Facilities Coordinator with data entry and office “make ready” activities. This position is dynamic and engaging, requiring someone who is highly organized, detail-oriented, service-focused, and eager to contribute as a member of a strong, collaborative team.
 
Job Duties:

<li>Relieves the Director of Operations of various administrative duties, requiring a thorough understanding of university functions, programs, and policies.</li>
<li>Provides comprehensive administrative support to the Director of Operations and Finance and their teams, including travel arrangements and reimbursements.</li>
<li>Coordinates meetings, prepares agendas, records minutes, and tracks action items for the Director of Operations.</li>

 Relieves supervisor of various internal administrative duties, which require thorough understanding of, and adherence to functions, programs, and policies of unit and university.
