The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to handle a variety of responsibilities that keep our workplace running seamlessly.Responsibilities<ul><li>Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately with friendly, professional phone etiquette.</li><li>Manage multi-line phone systems, screen calls, take messages, and transfer calls accurately.</li><li>Handle a wide range of clerical duties including data entry, filing, proofreading documents, and maintaining organized records.</li><li>Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks to prepare reports, spreadsheets, and financial documents.</li><li>Support calendar management and scheduling for team meetings, appointments, and events with precision and punctuality.</li><li>Assist with bookkeeping tasks including invoicing, expense tracking, and basic bookkeeping using QuickBooks or similar tools.</li><li>Provide exceptional customer support by responding promptly to inquiries via phone or email and ensuring client needs are met efficiently.</li><li>Maintain office supplies inventory and coordinate with vendors for procurement when necessary.</li><li>Support medical or dental reception duties if applicable, including appointment scheduling and patient check-in procedures.</li><li>Perform general office management duties to ensure a productive work environment.</li></ul>Qualifications<ul><li>Proven experience in an administrative or clerical role within an office setting.</li><li>Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks preferred.</li><li>Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.</li><li>Demonstrated experience managing multi-line phone systems and providing outstanding customer service.</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively.</li><li>Exceptional phone etiquette and communication skills are essential for interacting professionally with clients and team members.</li><li>Prior experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a plus.</li><li>Strong typing skills along with attention to detail for proofreading documents accurately.</li><li>Ability to manage time efficiently while handling multiple priorities simultaneously.
